Accelerated Study in Associate Programs (ASAP) helps motivated community college students earn degrees as quickly as possible, by removing the financial, academic, and personal obstacles that many students confront. Key ASAP program features include tuition waivers, monthly Metrocards, free use of textbooks, consolidated block scheduling, peer-bonding activities, college success seminars, personalized academic advising, and career development assistance. The Administrative Coordinator - ASAP will report to the ASAP Director and will perform comprehensive administrative duties to ensure productive ASAP office functioning and support the program's expansion activities, including program operations, recruitment, and communication. Additional responsibilities include:

  • Participate in recruitment and outreach efforts, and process student applications and documentation.

  • Enter information into databases, and maintain records and lists.

  • Distribute Metrocards to eligible students.

  • Process budget requisitions, invoices for payment and maintain financial records.

  • Maintain program information on department website(s), manuals, and other print or electronic sources.

  • Organize and execute logistics for events and meetings (including evenings and weekends).

  • Order office supplies and maintain the professional appearance of the office.

  • Serve as a front-line ambassador to the students, public, and university community on informational matters; answer telephone calls, general email, and in-person inquiries.

  • Participate in special projects as needed.


Bachelor's Degree required.

Preferred Qualifications:

  • Prior work experience with students and educators

  • Commitment to promoting college access and success in post-secondary education.

  • Strong writing skills.

  • Flexibility to work productively in a fast paced, time-sensitive, high volume, and dynamic student­ focused and customer responsive environment.

  • Strong presentation, interpersonal, and verbal communication skills to work and interact effectively, collaboratively, and cooperatively with a diverse community of learners, students, faculty, and staff.

  • Detail orientation and organizational skills with the ability to manage multiple assignments, establish priorities, and meet deadlines

  • Computer proficiency using standard office software programs/applications is required; advanced skills in Excel and Word are preferred.


Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
