The Administrative Executive Assistant will enter the Division at a time of growth and creative energy under the Vice President for Student Affairs. Student Affairs is an innovative, team-oriented division that provides integrated, student-centered educational activities that empower students to lead engaged socially responsible lives. Operating in a commuter, urban environment, John Jay students are affected by many external factors. This drives us to provide as many high-touch interactions as efficiently as possible while following best practices in the student affairs field.
Reporting directly to the Chief of Operations for the Division of Student Affairs, the successful candidate will be adaptable to working with all levels of faculty, administrative staff and students within the organization. In addition to the CUNY Title Overview, this position may require occasional weekend and evening work as well as the following responsibilities:
Create and maintain meeting schedules, arrange high level meetings, and maintain an ongoing calendar of reports, deadlines, and key dates.
Monitor financial commitments made to various programs, groups, and committees, ensuring that resources are made available as allocated in accordance with priorities.
Assist with the development of standard communications (reports, analyses, presentations, briefing materials, and responses).
Bachelor's Degree and four years' relevant experience required.
PREFERRED QUALIFICATIONS The successful candidate will have the following experience, knowledge, skills, and abilities:
Four (4) years’ experience performing executive administrative support functions for a senior level executive in a higher education institution.
Grants administration and public sector budgeting experience.
Strong work ethic and character with a high degree of personal integrity to work with discretion and maintain confidentiality.
Be team-oriented and goal-oriented with the ability to simply, identify, and follow-through multiple priorities in a deadline driven environment.
Articulate, highly resourceful, flexible, well-organized, detail-oriented, and accurate with strong analytical skills.
Effective writing, editing, oral, and interpersonal communication and presentation skills.
Proficiency using Microsoft Word, Access, PowerPoint, Excel, Oracle/People Soft software.
CUNY TITLE OVERVIEW
Provides support to a Campus or University Executive, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
Procures required internal and external resources and services and manages their utilization.
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
