CUNY Confidential Executive Assistant - President's Office in New York, New York


Baruch College invites applications for the Confidential Executive Assistant position.

Reporting to the Chief of Staff and working closely with the President, the Executive Assistant will provide confidential support to the President and Chief of Staff including managing the daily operations of the Office of the President.

Additional duties include:

  • Coordinate and oversee all aspects of the President's daily schedule.

  • Contact donors, faculty, staff, alumni, local politicians and others to coordinate and schedule meetings, conference calls, events, etc.

  • Research and prepare materials for meetings including collecting or creating meeting agendas; coordinating special arrangements as needed.

  • Ensure all speeches and remarks are being prepared and handled in the appropriate time for every event.

  • Provide administrative support on communications through managing the flow of e-mails, letters, correspondence and phone calls, ensuring the timely responses thereto.

  • Provide administrative support to Presidential meetings including scheduling of meetings, preparation of minutes and documenting follow up responsibilities.

  • Conduct research, assemble/analyze data and prepare reports, summaries or other documents on issues as assigned.

  • Assist in the planning and execution of events, as assigned.

  • Make travel arrangements and prepare detailed travel itineraries.

  • Facilitate the preparation of appropriate briefing materials, memorandums or other documents.

  • May assume oversight of daily operations of the Office of the President in the absence of the Chief of Staff.

  • Coordinate the submission of the Chancellor’s University Report.

This position requires exercise of confidentiality, discernment and professionalism.


  • Bachelor's degree and four years' related experience required

  • Higher Education experience preferred

  • Mastery of standard office computing software, including Microsoft Office suite

  • Excellent interpersonal and written/verbal communication skills

  • Ability to handle high-level information with extreme sensitivity and confidentiality

  • Ability to prioritize tasks and manage multiple assignments

  • Highly, motivated self-starter and team player


Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.

  • Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule

  • Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community

  • Organizes, creates, and distributes key, complex management reports with a high degree of accuracy

  • Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities

  • Procures required internal and external resources and services and manages their utilization

  • May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing

  • Participates in special projects and efforts to improve unit effectiveness

  • Performs related duties as assigned.

This position is excluded from union representation.
