CUNY Confidential Executive Coordinator - President's Office in New York, New York

POSITION DETAILS

Reporting to the President and working closely with the Chief of Staff, the Confidential Executive Coordinator performs various confidential and time-sensitive administrative and operational assignments and projects. The Confidential Executive Coordinator is a vital intermediary who exercises keen judgment and initiative to smoothly coordinate office functions, logistics, and information flows. The Confidential Executive Coordinator's will communicate with internal and external constituents and handle sensitive communications and situations in a professional and congenial manner in accordance with office procedures, and bring significant items to her immediate attention.

Providing a range of confidential support services for the President's Office, additional duties will include, but not be limited to the following:

  • Respond to or redirect inquiries sent to the President's Office, providing clear communication on her behalf.

  • Proofread communications for clarity, grammar, and syntax; finalizing correspondence

  • Draft important documents and correspondence

  • Conduct research on various projects for the President pertaining to topics, individuals, or organizations;

  • Ensure communications are sent in the proper format and are mobile-friendly.

  • Create, coordinate, and monitor the maintenance, integrity, and security of email database

  • Provide support to the President's Office and communicates with instructional technology regarding key updates and improvements

  • Assists in other administrative functions as required.

QUALIFICATIONS

Bachelor's degree required.

CUNY TITLE OVERVIEW

Provides administrative support as a confidential assistant to a Campus or University Executive.

  • Coordinates office operations such as meetings, communications, events, and reports

  • Maintains extensive files and records for the unit

  • Maintains accurate calendars, schedules, and key dates

  • Collects data for, prepares, and distributes reports and presentations using appropriate technology; runs basic system queries and reports

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials

  • Provides clear communications on the Executive's behalf both within and outside the unit

  • Performs related duties as assigned.

This position is excluded from union representation.
