The Graduate Center (GC) is the principal doctorate-granting institution of the City University of New York (CUNY). Reporting to the Director of Finance for Graduate Center Related Entities, the Finance Specialist is responsible for performing a variety of accounting activities related to the payment and receipt of funds; compute, classify, record, and reconcile transactions in financial accounting systems.

The Finance Specialist position involves the maintenance, analysis, interpretation and management of financial accounting data, including the preparation and posting of various journals, ledgers and accounts, the presentation of financial data, the preparation of financial statements and expenditure reports, review and approval of invoices for payment, allocation of funds to various accounts or functions, and other similar activities.

Duties include but are not limited to:

  • Prepares financial statements, i.e., review, analyze and present financial data, including statement of financial condition;

  • Maintains various ledgers, journals, registers and other fiscal records; reviews and analyzes accounting records and fiscal activities to ensure accuracy;

  • Responsible for review/compilation of financial statement (US GAAP basis of accounting, e.g., primary financial statements, MD&A;, supplemental schedules, etc.) and for coordinating support documentation for financial audits; acts as liaison to external auditors;

  • Ensures timely processing of payment requests for Graduate Center Related Entities; classifies expenditures and posts to various accounts as required, reviews and processes invoices, and other fiscal documents for payment and reconciles various financial reports and other data concerning fiscal operations;

  • Responds to inquiries from faculty, staff, and students regarding disbursement policies and procedures;

  • Enters contributions and other check receipts into the financial accounting system for Related Entities; prepares checks for deposit;

  • Prepares Graduate Center Related Entities bank reconciliations on a monthly basis;

  • Enters investment performance into the financial accounting system, i.e., interest and dividend income and gain/loss on investments;

  • Prepares and/or reviews complex transaction entries;

  • Enters checking account interest income into the financial accounting system;

  • Enters contribution receivables, accounts payable, accrued liabilities, etc. into the financial accounting system on a timely basis;

  • Prepares and distributes chargeback invoices;

  • Maintains accounting records through filing, retrieval, retention, storage, updating and archiving;

  • Provides assistance, as needed, in preparation of the Related Entities audited financial statements;

  • Provides oversight of fiscal year-end close process for The Graduate Center Related Entities; and

  • Assists the Director of Finance for The Graduate Center Related Entities and performs other duties as assigned.


Bachelor's Degree and four years' related experience required.


A preferred candidate should have:

  • Bachelor's degree in accounting, finance, economics or similar area.

  • Two years of related work experience.

  • Previous experience with internal and external audit process reviews.

  • Knowledge of laws and regulations related to accounting practices, procedures, and standards.

  • Accuracy and attention to detail.

  • Strong communication and analytical skills and the ability to handle multiple projects in a timely manner.

  • Ability to make decisions and establish work priorities.

  • Proficiency in MS Excel. Knowledge of financial and accounting software application. Good level of competence in CUNYfirst.

  • Ability to work effectively with minimal management guidance/supervision.

  • Ability to handle high volume workload.

  • Ability to work under pressure and meet targets and deadlines.

  • Ability to respond effectively to changing priorities.


Coordinates financial matters for a program or department under management direction.

  • Maintains financial accounts for income and spending; administers the allocation of funds

  • Analyzes spending, income trends and usage to recommend improvements

  • Manages the collection of revenue and accounts receivable

  • Tracks and maintains financial data to provide fiscal reports to management; produces forecasting projections

  • Monitors the financial condition of operating centers to ensure efficient use of resources

  • Performs ad hoc reporting and analysis as necessary

  • May supervise subordinate staff

  • Performs related duties as assigned.
