CUNY Grants Associate in New York, New York

POSITION DETAILS

This individual will report to the Dean of Research Administration and oversee all personnel matters pertaining to the administration of grants. Must exercise a high degree of independent judgment, initiative, organizational and problem-solving skills and meet high pressure deadlines. Individual must be willing to work evening and weekend hours when necessary.

The successful candidate will:

  • Approve all employment documentation for individuals hired on grant funds, ensuring accuracy and compliance with policies and procedures of both the Research Foundation and the City University of New York. Forward all personnel appointments to the Research Foundation via mail and electronic submission.

  • Arrange for the Research Foundation to host on-campus workshops on E-Services and employment practices.

  • Conduct both group and individual training sessions for principal investigators and assistants to acquaint them with policies and procedures for processing employment records.

  • Coordinate the issuance and reimbursement of salary advances between the college’s business office and the Research Foundation.

  • Follow-up with chairpersons, faculty and administrators to obtain information on workload, release time, and replacement faculty in order to generate Staff Effort Notices for release time claims.

  • Function as a grants management resource, conducting both group and individual training sessions for project staff and principal investigators on such matters as accessing and monitoring budgets, college policies and procedures and sponsoring agency regulations.

  • Notify principal investigators and assistants via phone, mail and e-mail about workshops and changes to employment practices.

  • Prepare schedules for summer salary earned on grants and solicit information and documentation from faculty. Inform faculty of related policies and procedures.

  • Prepare staff effort notices for College recovery of faculty time and coordinate these documents with the PAR-A21 forms.

  • Train personnel on the Electronic Personnel Action System to facilitate timely and accurate submission and processing of employee appointments.

  • Work closely with Research Foundation and principal investigators to resolve dilemmas with grant set up, appointments, terminations, resignations, time and leave, family leave, E-Services, etc.

  • Work with the CUNY First system to submit applicants for the Spring and Fall Chancellor’s Receptions.

  • Performs other grant-related duties as assigned.

QUALIFICATIONS

Bachelor's degree and six years' related experience working in grants administration required.

OTHER QAUALIFICATIONS Master’s degree preferred in a related field with a minimum of three years of experience in sponsored programs within a postsecondary environment.

The successful candidate must have human resource and payroll experience, especially with personnel that are foreign nationals, experience with auditors, experience in preparing proposal budgets and familiarity with funding agencies.

The Grants Associate must also be able to provide leadership in the application of new technology in support of the college’s payroll functions. A comparable amount of training, education/ experience may be substituted for the above minimum qualifications.

  • Knowledge of MS Office software to include Word, Excel, Access, PowerPoint and Internet-based search engines.

  • Strong interpersonal, communication skills, and the ability to work effectively with a wide range of constituencies in a diverse community.

  • Database management skills.

  • Strong budget development and management skills.

  • Working knowledge of various government agency requirements and practices.

  • Highly organized and detail oriented.

  • Experience in developing and leading training workshops.
