CUNY Administrative Executive Coordinator in Queens, New York


Reporting to the Vice President for Institutional Advancement, and in addition to the CUNY Title Overview, the Administrative Executive Coordinator supports and coordinates projects, initiatives and activities of the Vice President.

Responsibilities include:

  • Review office’s standard operating procedures and make recommendations to the Vice President for improvements

  • Schedule, coordinate and maintain clear, accurate calendar for the Vice President

  • Interface with board members, external entities, alumni and legislative representatives on behalf of the Vice President

  • Research issues and/or prospective donor prospects on demand and produce written summaries of results

  • Process and maintain records for all fiscal transactions and budgeting

  • Coordinate ceremonial functions, special events and donor visits conducted by the Office of Institutional Advancement

  • Draft correspondence, thank you letters and other documents

  • Provide general staff support to the Office of Institutional Advancement which consists of fundraising, alumni relations, and community/legislative relations

  • Develop and maintain record systems (including donor databases)

  • Take, produce and disseminate minutes of meetings for communication with external board members.

  • Coordinate scholarship/award disbursements and stewardship activities

  • Supervise support staff as needed.

  • Non-standard work hours may be required


Bachelor's Degree required.

Preferred Qualifications:

Two years’ of experience with administrative support Excellent organizational, communication (oral, written and electronic) and interpersonal skills Ability and willingness to maintain discretion and confidentiality Advanced Word, Excel, PowerPoint, Outlook, and internet skills essential Ability to work in an extremely fast-paced, deadline-oriented office that requires accuracy, customer service and a high degree of professionalism at all times Knowledge of fundraising and/or a corporate background a plus


Provides administrative support to a Campus or University Executive.

  • Coordinates office operations such as meetings, communications, events, and reports.

  • Maintains extensive files and records for the unit.

  • Maintains accurate calendars, schedules, and key dates.

  • Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.

  • Provides clear communications on the Executive's behalf both within and outside the unit.

  • May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
