CUNY Administrative Coordinator - Campus Facilities in Bronx, New York


The Buildings and Grounds Department’s mission is to serve the Lehman College community by providing professional and effective facility maintenance and operation services to ensure an attractive and efficient physical plant that will provide students, faculty, staff, and visitors a safe and productive environment to learn, work, and enjoy recreational and cultural events. The Buildings and Grounds department is seeking applicants for an Administrative Coordinator.

Reporting directly to the Chief Administrative Superintendent, the successful candidate will be responsible for, but not limited to, the following duties:

  • Serve as the primary contact person for the Buildings and Grounds department for the campus community.

  • Provide administrative support to the Buildings and Grounds Department.

  • Coordinate all confidential paperwork such as hiring, resignations, FMLA, overtime pay and leave of absences.

  • Develop, maintain, and implement procedures for data collection, entry, documentation and other administrative tasks.

  • Enter yearly service and maintenance contracts and services using CUNYfirst.

  • Maintain and update databases, projects, lists, and files to ensure completeness and accuracy and keeps department archives and collections.

  • Supervise three CUNY Office Assistants, assist timekeeper with reports, confirm work orders are generated, and verify work is completed in a timely manner.

  • Maintain daily contact with the Purchasing and Accounts Payable department when needed to ensure all invoices are reconciled and up to date.

  • Ensure all purchase requests are processed in a timely manner and follow up to confirm all payments are issued for contracts and services.

  • Schedule meetings using Outlook for the Chief Administrative Superintendent.


Bachelor's Degree required.


Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
