GENERAL DUTIES

  • Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.

  • There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as

needed.

  • Maximum tenure for any employee in this hourly position is 1040 hours per year.

  • Performs routine clerical work; may answer and attend to telephone calls; maintain records,

operate office machines (such as copier), sort and distribute mail, issue keys and identity cards,

act as messenger, and perform related tasks as required.

  • Types letters, memoranda, charts, and similar materials.

  • Acts as cashier.

  • Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.

  • Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.

  • Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.

  • Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.

  • May operate computers, computer software, and other electronic equipment in performing assigned tasks.

The Division of Student Affairs assists students with social, personal, and emotional development with the goal of encouraging intellectual and ethical growth through programs, initiatives, clubs, leadership activities, and various community events. CUNY Comprehensive Access to Resources for Essential Services (CUNY CARES) is an innovative pilot program aimed at revolutionizing the way health and social services are provided to students attending the three Bronx campuses of the City University of New York (CUNY). The three Bronx campuses are Bronx Community College, Hostos College, and Lehman College. Through a comprehensive, student-centered approach, CUNY CARES seeks to address the diverse needs of the student population and enhance their overall well-being, academic success, and overall college experience.

At Lehman College, CUNY CARES works in collaboration with the Basic Needs Center, which is part of the Student Health,Wellness, and Inclusion subgroup

Position Description

The part-time administrative assistant is employed for a total of 850 hours ($22 per hour) from December, 2023 – July, 2024 and assists the CUNY CARES Campus Coordinator with tracking, monitoring and data entry in addition to providing administrative coverage for the office in the afternoon and evenings. This position also helps to ensure that files and records managed by the office are adequately stored according to CUNY’s records retention policy. This staff member is crucial to the effective operations of the Basic Needs Center, particularly in anticipation of more student, staff and faculty presence on campus. Other duties include:

  • Provides information, as directed, to faculty, students, employees, and the general public.

  • Responds to routine inquiries regarding CUNY CARES and the Basic Needs Center.

  • Answers telephone calls; screens incoming calls and forwards/refers calls; assists in maintaining up-to-date mailing and telephone directories.

  • Furnishes information on the Basic Needs Center programs, rules, and regulations, when authorized.

  • Verifies inventory and supplies reports on request, places office supplies orders upon request.

  • Tracks, monitors, and coordinates Basic Needs Center programs, events, and activities as well as student utilization on the Campus Labs platform.

  • Follows up with staff and administrators throughout the College, University, and the community to resolve issues related to Basic Needs Center services.

MINIMUM QUALIFICATIONS

  • Must demonstrate sufficient skills to perform the duties of the assigned tasks.

OTHER QUALIFICATIONS

Bachelor's Degree preferred.

The ideal candidate will have:

  • Up to two years of related experience

  • Proficiency in use of Microsoft Office Suite, CUNYFirst, and competence within a digital workplace.

  • Ability to organize and manage records and archival systems.

  • Ability to organize, prioritize, and coordinate day-to-day projects and assignments.

  • Ability to work independently and as part of a team.

  • Ability to communicate effectively with diverse populations and articulate policies and procedures in response to inquiries.

  • Ability to handle multiple tasks and meet deadlines as well as follow-up as needed and complete assignments in a timely manner.

  • Excellent organizational abilities, exceptional attention to detail and follow-through, and comfort and facility with juggling multiple responsibilities and tasks

COMPENSATION

$22 per hour for a total of 850 hours
