POSITION DETAILS

New York City College of Technology of the City University of New York (CUNY), a comprehensive college in downtown Brooklyn offering 60 associate and baccalaureate degrees, invites applications for a Administrative Coordinator in the Mathematics department.

The Mathematics Department at City Tech offers an associate degree program (AS) in Computer Science, a baccalaureate degree program (BS) in Applied Mathematics, and a baccalaureate degree program (BS) in Mathematics Education. The Administrative Coordinator will assist the Chair of the Mathematics Department in administration of department functions, procedures, records, payroll, budgets, expenditures, requests and orders of support and supplies.

Typical duties may include, but are not limited to:

  • Preparing and maintaining department records and reports.

  • Assisting with the coordination of department tasks such as testing, final exams, registration and advisement,

  • programming and scheduling.

  • Managing basic office functions, including recommending and implementing efficient office procedures and methods.

  • Supervising and coordinating the duties of clerical and part-time personnel such as office assistants andstudent aides.

QUALIFICATIONS

Minimum Qualifications:

Bachelor's Degree required.

Preferred Qualifications:

A Bachelor's degree in Mathematics and up to 2 years of office administrative experience preferred.

Due to the size and complexity of the Mathematics Department and City Tech as a whole, excellent

administrative, organizational, interpersonal abilities, as well as first-rate verbal and written communications

skills, are needed to provide consistent services to the University's multicultural community of students, faculty

and staff.

Proficiency with computer software, especially MS Office and Adobe Acrobat.

Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
