CUNY Administrative Coordinator - Office of the Senior VP for Finance and Administration in Brooklyn, New York


Brooklyn College of the City University of New York (CUNY) invites applications for the Administrative Coordinator position in the Office of the Senior Vice President of Finance and Administration.

Reporting to the Senior Vice President of Finance and Administration (SVPFA), the Administrative Coordinator provides support for facilities-related administration and projects including: maintenance requests, budget management, and assisting with the creation of department policies and procedures.

The Administrative Coordinator's duties include but are not limited to:

  • Assist the SVPFA in working with Facilities staff to monitor progress of pending items in the Archibus and BC Fix-it systems. Assist with the creation of department policies and procedures. Create and monitor reports to track progress. Provide status updates to end users.

  • Serve as liaison between Facilities and Information Technology Services to address issues that intersect both offices, such as the monitoring of temperatures in IT closets.

  • Participate on the College’s space management committee and assist in the preparation of the NSF Facilities Survey.

  • Monitor Facilities overtime submissions so they are accurate and timely.

  • Assist the SVPFA in managing the Facilities budget and participating in the transition to a zero -based budget model to address operating needs and a variable budget model for strategic needs. This will be a pilot for the implementation of a Planning, Budgeting, and Assessment model as part of the College’s Institutional Effectiveness Plan.

  • Participate in the development and implementation of a Facilities Strategic and Operational Plan.


  • Bachelor's Degree required.

  • Experience in higher education preferred.


Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
