Brooklyn College invites applications for an Administrative Executive Coordinator in the School of Visual, Media and Performing Arts (VMPA). Reporting to the Dean of the School of Visual, Media and Performing Arts, the Administrative Executive Coordinator provides administrative support and coordinates the daily office functions, including invoice processing and budget monitoring and reports.

In addition to the CUNY Title Overview, the Administrative Executive Coordinator performs the following duties:

  • Provides information, instructions, and materials as requested by students, faculty, and others who contact the School of Visual, Media and Performing Arts

  • Facilitate communication with academic departments within the School, College and other support offices, and distributes information on behalf of the dean.

  • Coordinate logistics and program planning for events and activities.

  • Participates in all on-campus School related events and meetings.

  • Supervise and trains College Assistants and student workers.

  • Collects and maintains academic records for the VMPA and the academic departments, including archive material and statistical data.


Bachelor's Degree required.

Preferred Qualifications

  • Experience in event planning and administrative support in a higher-education setting.

  • Experience with PeopleSoft system (CUNYfirst: Purchasing) and other related database systems are a plus.

  • Excellent customer service, organizational and written skills.

  • Proficiency in use of Microsoft Office suite, especially Word, Excel, Outlook and PowerPoint


Provides administrative support to a Campus or University Executive.

  • Coordinates office operations such as meetings, communications, events, and reports.

  • Maintains extensive files and records for the unit.

  • Maintains accurate calendars, schedules, and key dates.

  • Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.

  • Provides clear communications on the Executive's behalf both within and outside the unit.

  • May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
