CUNY Administrative Specialist - Brooklyn Educational Opportuntity Center (Business Affairs) in Brooklyn, New York

POSITION DETAILS

Located at CUNY’s New York City College of Technology in Downtown Brooklyn, the State University of New York, Brooklyn Educational Opportunity Center (BEOC), provides tuition-free academic and workforce development training to eligible New York State residents. BEOC provides a pathway to lifelong learning, college access and economic self-sufficiency.

Reporting to the Director of Business Affairs, the Administrative Specialist provides support for the Office of Business and Administrative Services to ensure the successful operation of the department. The key areas of support are in administration, planning and analysis.

In addition to the CUNY Title Overview, the duties of the position include but are not limited to the following:

  • Coordinate the day to day operations and administration of the department

  • Schedule and coordinate activities for all the administrative units of the department

  • Maintain critical calendar dates and ensure adherence to project timelines

  • Develop and maintain archives, inventories, records and/or databases and generate reports

  • Assist in preparing budget and financial plans for the Center

  • Coordinate the purchasing of goods and services for the Center

  • Collect and report fiscal information and ensure that it is recorded appropriately

  • Participate in the application of internal controls

  • Collaborate with Human Resources for hiring functions, processes and record-keeping.

  • Work with Payroll to process payroll transactions

  • Administer special projects, initiatives and efforts to improve the effectiveness of the department

  • Respond to queries from students, staff and the public

  • Supervise office support staff, including student workers

Flexible schedule is required: day and evening hours may be assigned

QUALIFICATIONS

Bachelor's Degree and four years' relevant experience required.

  • Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.

  • Works with appropriate offices related to personnel recruitment, expediting search activities

  • Research coordinates and organizes materials for key events such as promotion and tenure reviews.

  • Supervises and trains support staff and student workers.

  • Manages budget and coordinates purchasing, accounting, and payroll.

  • Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.

  • Performs related duties as assigned.

Salary commensurate with education and experience. Salary range: $47,340 to $58,555
