Brooklyn College solicits applications for the Administrative Specialist in the Women’s Center. Reporting to the Director, the Administrative Specialist is responsible for managing the day-to-day operations of the office and providing administrative support to the Director and for a variety of departmental functions.
In addition to the CUNY Title Overview, duties include but are not limited to:
Supervise front desk functions. Manage and schedule a team of 10+ student workers. Develop tip sheets, train and supervise the students to perform office tasks, ranging from clerical duties, operating office equipment, event setup, updating bulletin boards/showcases, community outreach, etc.
Implement the Women’s Center's policies and procedures for student usage of the center, including sign-in and user traffic management.
Maintain and update records of all zoom rooms, events, and center usage, including daily use and one-on-one contacts.
Organize all files and event recordings in the cloud for the staff and students to use.
Maintain all office fiscal records such as in-house budget and expenses.
Coordinate the fiscal process, and submit all requisitions for office supplies, materials, and honorarium.
Participate in special events. Plan and organize meetings and events. Manage logistics and financial arrangements. Collaborate with internal and external stakeholders as needed.
Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.
Bachelor's Degree and four years' relevant experience required.
Working knowledge of fiscal processes within CUNYfirst.
Experience in event planning.
Experience supervising student workers in a college environment.

Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.
Works with appropriate offices related to personnel recruitment, expediting search activities
Research coordinates and organizes materials for key events such as promotion and tenure reviews.
Supervises and trains support staff and student workers.
Manages budget and coordinates purchasing, accounting, and payroll.
Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.
Performs related duties as assigned.

If a new health plan is selected, the new plan will be effective on the 366th day.
Only after the 365th day can the employee participate in any Annual Fall Transfer Period. An employee who needs to request an exemption from the required enrollment in the HIP HMO Preferred Plan can do so by submitting a HIP HMO Opt-Out Request Form to EmblemHealth. An employee, or eligible dependent, must meet certain criteria and the request must be approved by EmblemHealth before the exemption is granted. The HIP HMO Opt-Out Request Form and HIP service area are available on the EmblemHealth website.
