Reporting to the Chief of Staff in the Office of the Provost, the Administrative Executive Assistant will be responsible for completing a broad variety of administrative tasks that include but are not limited to:
Serving as a liaison with unit heads, faculty, and staff.
Simultaneously managing diverse assignments while remaining organized and productive in a fast-paced environment that demands a delicate blend of agility and tact.
Using emerging and existing tools and technology to support the work of the Provost’s Office.
Monitor annual reappointment, promotion, tenure, and leave processes for the Office of the Provost,
Includingliaising with departments to ensure all professorial faculty CCE, tenure, and/or promotion cases are being reviewed according to college and university policies and procedures.
Process faculty appointment and reappointment letters, retirements, and faculty leave requests.
Maintain and update the Faculty Manual with approved revisions; create explanatory print and web-based materials to support faculty knowledge of and compliance with academic policies and procedures
Implement and develop training materials around the faculty-facing aspects of online systems (e.g. Interfolio) used by the College for managing faculty actions and activity reporting,
Managing the teacher evaluation process in conjunction with the Registrar and IT
Assist with internal faculty awards management.
Contributing to effective office operations by performing other related duties as assigned.
Bachelor’s degree and four years’ related experience required.
Ability to handle confidential information with discretion.
Solid background in effective communication of logical thought processes and information- simply and concisely in person and in writing.
Strong organizational and supervisory skills; be able to deal with multiple assignments/ projects with conflicting priorities and tight deadlines.
Motivated and enthusiastic self-starter with the ability to work well under pressure, take initiative, exercise sound judgment, discretion and tact in various situations, and solve problems creatively and diplomatically.
Able to work effectively, collaboratively, and cooperatively with diverse staff and upper-level administrators.
Proficiency in using computers and software programs and willingness to learn new systems.
Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.

Provides support to a Campus or University Executive, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
Procures required internal and external resources and services and manages their utilization.
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
