Charged with shaping and enhancing the GC’s messaging and reputation, the Office of Communications and Marketing produces strategic and tactical communications plans and print, digital, video, and social media assets in support of institutional goals. In addition, the Communications team prepares marketing materials including reports and data summaries, and event and targeted meeting materials for senior leaders including the President, Provost, Deans, Vice Presidents and campus partners. The team also supports cross-campus marketing projects and special events.

The Administrative Coordinator will support the work of the Office of Communications and Marketing, focusing on the Graduate Center’s uptown location, the Advanced Science Research Center (ASRC). S/he will support the daily management of the ASRC’s event and marketing activities. The incumbent will also handle a variety of tasks assigned at the direction of the manager. The position will report to the Associate Director of Public Relations and will be located at ASRC. In addition to the CUNY Title Overview, duties include but are not limited to:

  • Maintains the master events calendar and processes new requests.

  • Updates the event webpage.

  • Coordinates support services such as custodial, media services, and facilities requests.

  • Updates internal mailing lists and databases by inputting data from a variety sources.

  • Prepares digital signage using PowerPoint and internal software technologies as needed.

  • Formats content and graphics for promotional materials using pre-existing templates.

  • Maintains inventory of promotional materials.

  • Assists with special events including convocation, commencement, public programs, and receptions.

  • Prepares reports by compiling, consolidating, formatting, and summarizing information, graphs, and presentations.

  • Distributes reports and departmental communications.

  • Updates job knowledge by participating in educational opportunities.

  • Performs other duties as assigned.


Bachelor's Degree required.

A preferred candidate should have:

  • Proficiency in Microsoft Office and understanding of Content Management Systems (CMS) solutions.

  • Excellent customer service and communications skills.

  • Experience preparing reports and presentations for a communications or marketing department.

  • Experience supporting a senior manager.

  • Nonprofit or higher education experience.

  • Experience using databases and CRM tools (i.e. Salesforce).

  • Strong work ethic, high degree of professionalism, and personal integrity.

  • Excellent organizational skills.

  • Ability to work with audio visual systems.

  • Ability to participate in events outside the workday schedule.

  • Ability to work early mornings, evenings, and weekends as needed.


Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
