POSITION DETAILS
The Administrative Coordinator position reports to the Chief of Staff to the Provost. The position will provide direct support to the Chief of Staff, the Provost, and the Associate Provosts. In addition to the CUNY Title Overview, the Administrative Coordinator will:
Manage the Provost’s calendar;
Manage telephone and in-person access to the Provost;
Handle confidential issues related to faculty, staff and students;
Monitor the Provost’s correspondence, handle mailings;
Prepare and distribute the academic calendar, manage contact lists;
Plan/organize office events, meetings, and special projects;
Provide budget support related to part-time employees and vendors, manage appointments and time sheets for part-time employees and administrative staff;
Update office databases, lists, and files to ensure completeness and accuracy; maintain current information on the office website;
Provide basic information, instructions, and materials as requested by faculty, students, staff, and others who contact the office
May supervise student workers;
Assist the Provost and Chief of Staff with other duties as needed.
QUALIFICATIONS
Bachelor's Degree required.
PREFERRED Qualifications
Ability to work effectively and efficiently in a fast-paced, service-oriented, student-centered department
Ability to work collaboratively and professionally in a team setting with a diverse staff of all levels and communicate effectively with staff in other offices such as HR, Payroll, Registrar, Dean’s Office, Hunter Foundation Office
Experience with budget preparation and management (including the creation of spreadsheets in Excel)
Strong familiarity CUNYfirst
High degree of professionalism and personal integrity to maintain confidentiality
Detail oriented, self-directed, motivated, and proactive
Strong analytical, evaluative, and research skills
Experience with MS Word, MS Excel, Google Docs
Experience with Photoshop, desktop publishing, and marketing skills a plus
VACCINE REQUIREMENT
Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.

Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
May supervise office staff and student workers.
Performs related duties as assigned.
