Reporting to the Director of Campus Operations and Administration, the Campus Facilities Administrative Coordinator will be responsible for administrative support of the Campus Facilities front office working for and with senior management. The Office of Campus Facilities consists of professional, HEO, and civil service staff which includes the Assistant Vice President, Director of Facilities Planning, Direct of Environmental, Health and Safety, Director of Operations and Administration, 4 professional staff, and 2 part-time College Assistants.

The Administrative Coordinator will be responsible for the following additional duties:

  • Provide administrative support to the Campus Facilities and Buildings and Grounds office staff including procurement processing, reporting, and follow-up utilizing the CUNYFirst electronic system.

  • Process department procurement card actions, invoice submissions, and special event permit applications.

  • Serve as Baruch's Film Shoot Coordinator including acting as the point of contact for location scouts; providing tours of campus facilities; establishing the fee schedule for each event involving labor and services needed; drafting location agreement for College review; meeting film crew on arrival; remaining on film site to coordinate production company's service requests until film crew has left the premises; and coordinating requests with Baruch staff.

  • Serve as timekeeper for department staff.

  • Update and maintain office on-line directory and website content.

  • Create various department communications including letters and memos.

NOTE: Film shoots frequently take place outside of normal business hours, including evenings and weekends. The selected candidate is expected to be available, whether on call or in person, as the circumstances require and determined by the supervisor.

All CUNY employees must reside within a commutable distance to the tri-state area.

Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.


Bachelor's Degree required.


Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
