POSITION DETAILS

The Hunter College SPELL Program (Saturday Program in English Language Literacy) is seeking an Administrative Coordinator.

Reporting to the Principal Investigator/Faculty Advisor, the Administrative Coordinator will coordinate and implement administrative functions. In addition to the CUNY Title Overview, specific responsibilities may include, but are not limited to the following:

• Provide basic program information, instructions, and materials as requested by students, faculty, and others who contact the program

• Maintain program’s fiscal plans and budgets; pay all invoices; report to/consult with the PI on all major financial decisions prior to implementation.

• Oversee basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information in consultation with PI/faculty advisor.

• Maintain an annual calendar of educational events for students

• Assists in creating performance improvement education modules for ongoing education of the Department staff.

• Represent the program and attend Literacy program manager meetings at CUNY Central office and NYC RAEN(Regional Adult Education Network), and other related meetings as required..

• Reserve and coordinate logistics for classroom, testing, registration and orientation spaces.

• Complete and submit all required NYSED reports (with CC to supervisor) in consultation with PI/faculty advisor.

• Oversee and provide administrative support to case managers, teachers, tutors, and office staff, under the oversight and supervision of the PI/ faculty advisor.

• Assist with search and on-boarding process for new staff when necessary, in coordination with the PI/faculty advisor.

• Maintain an evaluation system for teacher effectiveness which includes insights from students, peer teachers, and other observers in the classroom such as tutors from the MA program.

• Assist with online course management system for teachers so that students have opportunities to use course and online language learning materials

• Coordinate a system of teacher peer-observations

• Oversee entry of all student data and test scores into ASISTS (NYSED data management system).

• Maintain and update students' records, learning portfolios, progress reports, and attendance records

QUALIFICATIONS

Bachelor’s degree required.

Time Commitment:

This is a full-time position (35 hours/week), Tuesday through Saturdays; with occasional evening hours. Please note that Saturday availability is required.

Preferred Qualifications:

• Bilingual fluency in Spanish (strongly preferred)

• Two years of relevant experience

• Experience working in an adult ESL program

• Prior experience in working with immigrant communities

• Strong reading, writing, listening and speaking skills in English

• Ability to provide services in a manner sensitive to the backgrounds and cultures of program participants

CUNY TITLE OVERVIEW

Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.

Salary commensurate with education and experience, within the approved range for this position (currently $39,282-$42,407).
