POSITION DETAILS
The Administrative Executive Assistant for the Division of Science will report to the Dean of Science at The City College of New York. In addition to the CUNY Title Overview, the Administrative Executive Assistant duties include but are not limited to the following responsibilities:
• Oversee general day-to-day operations of the Office of the Dean of the Division of Science
• Maintain a yearly schedule of personnel actions for faculty and staff including evaluations, reappointments, promotions, working with departments to ensure a timely progression of necessary steps
• Oversee the hiring process of new employees, including preparing Personnel Action Forms and other onboarding forms and workflows; Assist the Dean of Science in scheduling meetings
• Maintain personnel files for each employee of the Division of Science, coordinating with departments as necessary
• Supervise temporary employees and part-time employees in the Office of the Dean
QUALIFICATIONS
Bachelor’s degree and four years’ related experience required.
Preferred Qualifications:
• Proficient with Microsoft Excel, including basic analyses and data visualization.
• Experience in Project Management.
CUNY TITLE OVERVIEW
Provides support to a Campus or University Executive, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
Procures required internal and external resources and services and manages their utilization.
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

COMPENSATION AND BENEFITS
Salary Range: $62,411- $68,004. Salary commensurate with education and experience.
