The Administrative Executive Coordinator for the Office of Institutional Research and Assessment (OIRA) performs analytical, research and administrative work pertaining to University-wide academic, institutional research and assessment programs, goals and priorities. Reporting to the University Dean for Institutional Research and Assessment, the Administrative Executive Coordinator organizes various operational practices and systems, workflow processes, and technical data across multiple University office locations and college campuses. Additionally, they maintain select databases and perform regular updates to ensure user access and data integrity.

Other key duties include but will not be limited to the following:

  • Coordinate orientations for new campus IR directors and staff.

  • Arrange new OIRA web site accounts and maintain site.

  • Assist with survey application development and mailings.

  • Serve as primary liaison to campuses for all major data collections forming the basis of IRDB and for Faculty Scholarship & Creative Activity collection.

  • Maintain Academic Program Inventory and assist with IPEDS Institutional Characteristics reporting.

  • Perform supply data checking for ACE collection.

  • Perform daily script runs on CBIL enrollment reports; perform weekly cleaning of Oracle Discoverer logs using Python; use SQL to create underlying data tables in Discoverer.

  • Analyze Faculty Scholarship data using Discoverer to identify year-to-year changes.

  • Maintain user access and resolve issues for IRDB database and Business Intelligence applications.

  • Maintain OIRA wikis and upload files to Tumbleweed site.

  • Create and maintain OIRA Listservs; maintain OIRA digital licenses (SPSS, Tableau, Discoverer, etc.).

  • Maintain OIRA hardware inventory and arrange equipment salvages.

  • Assist with planning the Higher Education Policy Seminar Series.

  • Maintains office expenditures, fiscal and procurement transactions, audits, reconciliations, and reporting.

  • Coordinates dates, logistics, equipment and technical arrangements for meetings, events, and travel.



Bachelor’s degree required.


  • Two years’ experience performing administrative, operational and financial management work supporting academic planning in a higher education institution.

  • Detail oriented and accurate with strong quantitative, analytical, critical thinking, problem solving, data management, research and evaluation skills

  • Strong writing, proofreading, and editing skills.

  • Proactive, flexible, and customer-focused with strong interpersonal communication skills to work effectively with diverse members of the university community and external constituents.

  • Ability to work productively and collaboratively in a dynamic and customer responsive office.

  • Strong organizational and follow-through skills to develop and execute work plans, prioritize work, manage multiple assignments and meet deadlines.

  • Strong computer proficiency using administrative, financial or academic systems, databases, and programs.


Provides administrative support to a Campus or University Executive.

  • Coordinates office operations such as meetings, communications, events, and reports.

  • Maintains extensive files and records for the unit.

  • Maintains accurate calendars, schedules, and key dates.

  • Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.

  • Provides clear communications on the Executive's behalf both within and outside the unit.

  • May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

Only after the 365th day can the employee participate in any Annual Fall Transfer Period.

An employee who needs to request an exemption from the required enrollment in the HIP HMO Preferred Plan can do so by submitting a HIP HMO Opt-Out Request Form to EmblemHealth. An employee, or eligible dependent, must meet certain criteria and the request must be approved by EmblemHealth before the exemption is granted. The HIP HMO Opt-Out Request Form and HIP service area are available on the EmblemHealth website.
