The Office of Computing and Information Services (CIS) at the City University of New York (CUNY) support the IT and telecommunications needs of CUNY's 24 colleges. CIS supports enterprise IT and applications; develops new technologies that advance University's core mission; builds, upgrades and maintains the University's network; operates the University's Data Center and help desk; develops disaster recovery and business continuity plans; and leads the CUNYfirst Enterprise Resource Planning Project (ERP), which integrates 25 university systems, covering student administration, financial management, and human resources.

Reporting to the University Executive Director of IT Service Delivery, the Administrative Executive Coordinator will provide administrative support and perform a variety of time-sensitive duties, assignments and projects for the effective functioning of a fast-paced IT unit, requiring a high level of coordination and discretion.

Key responsibilities include, but are not limited to:

  • Coordinates and organizes all office functions including scheduling meetings, maintaining office documents, forwarding inquiries for further information and/or resolution, and distribution of information to support the operations of the IT department.

  • Responds verbally or in writing to internal and external inquiries, which involve communicating with senior management.

  • Works closely with Directors and Managers under the purview of the University Executive Director of IT Service Delivery to develop business processes to accomplish their objectives.

  • Assists with the preparation of executive presentations, arranging conferences, facilitating the acquisition and scheduling of required IT staff training sessions; setting and distributing meeting agendas, and preparing travel requests for the executive staff.

  • Assists with projects and business analyses of various IT topics.

  • Assists with procurement of new software and /or technology.

  • Tracks and updates the progress of the unit's annual strategic plan and objectives.

  • Assists and supports the Communications team in the continued maintenance and development of CIS Communications related Sharepoint sites, messaging and collaborative tools.

  • Under supervision, may assist with planning, organization, and control of the activities of multiple project teams; including supporting both the administrative and technical assistance needs of the unit, the Project Management Office and/or other units within proximity to the Executive Director's Office.

  • Maintains accurate and complete documentation for departmental policies and procedures.

  • Serves as a backup resource for the Communication and Marketing Team with University-wide marketing campaigns.

  • Performs other duties as assigned.


Bachelor's Degree required.


The ideal candidate will have the following knowledge, skills, and abilities:

  • Two years' relevant administrative experience supporting senior level executives.

  • Excellent interpersonal skills and ability to effectively interact with internal and external clients in a diverse working environment.

  • Ability to work independently and as part of a team to complete assignments on time and with minimal supervision while exercising sound judgment.

  • Working knowledge of Microsoft Office suite and willingness to be trained on various computer software relevant to job requirements.

  • Demonstrated creativity and design skills to develop content for different publications.

  • Strong work ethic, character, and personal integrity to work with the utmost professionalism, confidentiality and discretion.

  • Strong organizational and follow-through skills to coordinate work plans, prioritize work, manage multiple assignments and conflicting priorities, and meet deadlines.

  • Excellent communication skills.


Provides administrative support to a Campus or University Executive.

  • Coordinates office operations such as meetings, communications, events, and reports.

  • Maintains extensive files and records for the unit.

  • Maintains accurate calendars, schedules, and key dates.

  • Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.

  • Provides clear communications on the Executive's behalf both within and outside the unit.

  • May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
