The Administrative Manager for Academic Affairs performs analytical, research and administrative work pertaining to University-wide academic, institutional research and assessment programs, goals, priorities and communications supporting the offices of Academic Financial Planning, Teacher Education, Libraries, and Health and Human Services. Reporting to the Associate University Provost for Planning, the Administrative Manager manages various operational practices and systems, workflow processes, and information across multiple University office locations and college campuses. Other key duties include, but will not be limited to the following:

  • Draft communications for the Associate Provost and create, interpret and disseminate communications related to academic policies of the Office of Academic Affairs.

  • Foster and maintain professional partnerships with CUNY Central Office leadership, campus leadership, and faculty to manage and organize projects including University-wide activities, and implementation of new processes and technology to ensure initiatives are implemented efficiently and evaluated thoroughly.

  • Provide administrative management in meeting strategic priorities and executive innovative strategies to improve procedures and organizational effectiveness.

  • Work with the Office of Library Services and college campuses representatives on a wide range of initiatives and strategies to further develop the Open Education Resources for teaching excellence and the use of evidence-based best practices in pedagogy.

  • Perform logistical planning and execution to promote academic, student service, and research goals.

  • Analyze and interpret data such as the COACHE faculty satisfaction survey, in addition to operational and policy challenges to recommend or create solutions and prepares presentation for stakeholders.

  • Participate in the Innovative Pedagogy team to help create, implement and manage faculty professional development seminars designed to assist faculty in improving teaching practices while moving to an online platform.

  • Participate in training activities, which includes reviewing, preparing, and tracking learning materials, communications, and workshops.

  • Arrange and organize meetings; schedules events on behalf of the Associate University Provost for Planning.

  • Prepares learning materials, communications, and workshops to support faculty to adjust pedagogy to student mindset.

  • Collaborates with the Director of Undergraduate Education Initiatives and Research to organize workshops and programs and refine approaches to meet program objectives.

  • Creates and maintain websites to support programs.

  • Performs related duties as assigned.



Bachelor’s degree and six years’ related experience required.


  • Advanced degree preferred

  • Six (6) years’ experience performing administrative, financial and operational management work supporting academic planning in a higher education institution.

  • Strong work ethic and character with a high degree of personal integrity to work with discretion and maintain confidentiality.

  • Customer focused, motivated and enthusiastic self-starter with ability to take initiative, use sound judgment to draw conclusions, make recommendations and resolve problems diplomatically.

  • Detail-oriented and accurate with strong critical analysis, evaluation, and research skills

  • Effective writing, editing and interpersonal communication skills with strong presentation and group facilitation skills.

  • Ability to successfully navigate a complex political landscape, work well as an individual contributor and team member with diverse internal and external constituents of various organizational levels.

  • Strong organizational and follow-through skills to prioritize work, create and execute work plans, manage multiple assignments and meet deadlines.

  • Strong computer proficiency using administrative, financial or academic systems, databases, and programs.


Manages administrative and program activities of an academic or administrative unit.

  • Manages administrative aspects of department operations such as admissions, recruitment, scheduling, facilities management, and events.

  • Serves as Office Manager, supervising and training staff, managing financial operations and budgets, and coordinating technology, equipment, security, and building maintenance requirements.

  • Represents management in meetings and activities related to department administration.

  • Maintains archives, inventories, or collections of materials or records needed by the department.

  • Works with fund-raising, marketing, technology, and other personnel to provide information and participate in Campus or University-wide initiatives.

  • Collect information for, produce, and distribute department reports covering program, fiscal, and human resources issues

  • Independently carries out unit activities such as approvals, student interactions, and participation in campus- or university-wide committees and projects.

After 365 days of employment, the employee will have the option of either remaining in the HIP HMO Preferred Plan or selecting a different health plan within 30 days before the end of the 365th day period.

If a new health plan is selected, the new plan will be effective on the 366th day.

Only after the 365th day can the employee participate in any Annual Fall Transfer Period. An employee who needs to request an exemption from the required enrollment in the HIP HMO Preferred Plan can do so by submitting a HIP HMO Opt-Out Request Form to EmblemHealth. An employee, or eligible dependent, must meet certain criteria and the request must be approved by EmblemHealth before the exemption is granted. The HIP HMO Opt-Out Request Form and HIP service area are available on the EmblemHealth website.
