POSITION DETAILS
The Administrative Specialist will report directly to the Deputy Dean of Medical Education in the Sophie Davis Program in
Biomedical Education/CUNY School of Medicine at The City College of New York. Under direction, with latitude for the
exercise of independent initiative and judgment, this position will perform administrative work following relevant
departmental, College and University procedures.
In addition to the duties above, the Administrative Specialist will:
- Be responsible for administrative work to support the education program including scheduling meetings, arranging travel
for educational meetings, editing and distributing surveys, collecting and analyzing data, and assisting with accreditation
processes
- Support the Deputy Dean and Assistant Deans for the Basic Science and Clinical Curriculum with any administrative tasks
related to the curriculum, education scholarship or tasks related to their professional work
- Prepare materials for presentations to faculty, staff and students of the CUNY School of Medicine and to regional and
national education organizations
- Support various CUNY School of Medicine committees including scheduling, creating agendas, collecting and distributing
materials and taking minutes
Support activities related to teaching, research and outreach
Work with the Chair to ensure completion of dossiers for faculty appointments, renewals, promotions, tenure reviews,
and other personnel actions.
*Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required.

Displayed initiative, flexibility, and ability to work independently with minimal supervision
Displayed attentiveness to detail and deadlines
Exercises diplomacy
Demonstrated superior operational skills, interpersonal skills, excellent oral and written communication skills and
experience managing databases
Experience with CUNYFirst and Blackboard
Proficiency in Outlook, Excel, Word and PowerPoint

Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.
Works with appropriate offices related to personnel recruitment, expediting search activities
Research coordinates and organizes materials for key events such as promotion and tenure reviews.
Supervises and trains support staff and student workers.
Manages budget and coordinates purchasing, accounting, and payroll.
Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.
Performs related duties as assigned.

Salary range $85,000 - 95,000
