CUNY Administrative Specialist in New York, New York


Reports to the Director of Research or designee, the Administrative Specialist will be responsible for the followings:

  • Assist the Director of Research as it relates to working with state and CUNY funded research programs: Collegiate Science and Technology Entry Program (CSTEP), Science and Technology Entry Program (STEP), Louis Stokes Alliance Minority Program (LSAMP), CUNY Research Scholars Program (CRSP) and BMCC Foundation Fund Undergraduate Research Program (BFF).

  • Supervise undergraduate research program coordinators and assist staff in program development.

  • Work with program staff in the development and submission of mid-year and final reports.

  • Coordinate and plan all events including research related workshops, BMCC Annual Research Symposium, STEM Fest and other research and scholarly activity related events sponsored by the Office of Research and Academic Affairs.

  • Manage and edits Office of Research website content.

  • Manage core laboratory and research program budgets.

  • Process invoices and payments for all research programs and events through CUNY First and Research Foundation Payment Request platforms.

  • Process stipends for all research students enlisted in CSTEP, STEP, CRSP and BFF.

  • Prepare funding logistics for student researcher conferences and travel.

  • Create program procedures, policies, processes as needed.

  • Communicate with faculty and department chairpersons regarding research and scholarly activity related events, programming, budgets and student research.

  • Create and manage student research activity databases.

  • Manage staff hiring procedures, personnel documentation, and new hire onboarding process.

  • Assists Director of Research in the collection of data from various academic departments regarding faculty publication, research activities (ex. conference presentations), grant submissions and other scholarly activity.

  • Assist Director of Research with program development and assessment of faculty and student mentored research.

  • Work with the Director of Research on IRB applications as needed.


Bachelor's Degree and four years' relevant experience required.

Minimum of four (4) years of full-time related experience required; 1 year of full time working experience in higher education preferred.

  • Experience with PeopleSoft (CUNYFirst) preferred.

  • Excellent oral and written communication skills.

  • Knowledge of scheduling and budget process desired.

  • Strong analytical and computer skills–knowledge of Microsoft Office Suite preferred.

  • Ability to handle multiple priorities and projects simultaneously.


Provides administrative and program support to an administrative or academic department.

  • Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.

  • Works with appropriate offices related to personnel recruitment, expediting search activities

  • Research coordinates and organizes materials for key events such as promotion and tenure reviews.

  • Supervises and trains support staff and student workers.

  • Manages budget and coordinates purchasing, accounting, and payroll.

  • Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.

  • Performs related duties as assigned.
