POSITION DETAILS

Since its opening in the Fall of 2014, the Nanoscience Initiative at the City University of New York (CUNY) Advanced Science Research Center (ASRC) has established itself as a leading research center in nanoscience. Occupying one of five floors in a state-of the-art 200,000 square foot, $350M research building in Manhattan, the Nanoscience Initiative hosts academic research activities and has established three high-end core facilities for surface science, imaging, and nanofabrication. The facilities provide access to cutting edge equipment and infrastructure and welcomes researchers from academia and industry. The Nanoscience Initiative has an anticipated vacancy for an Associate Director to manage the day-to-day operations of the Initiative and to be the point person for all operational matters within the department. The incumbent will manage administrative tasks, manage the operations of the laboratories (including four academic labs and three core facilities), collaborate on grant proposals, develop and maintain budgets, and act as a liaison with internal and external partners. S/he will also be responsible for events and communications, and contribute to strategic planning and business activities for the advancement of the Nanoscience Initiative. This position reports to the Nanoscience Initiative Director.

Duties include but are not limited to:

  • Performs major responsibilities under the Director’s purview, such as monitoring and evaluating unit activities, financial/budget planning, and ad hoc projects as needed; responsible for purchasing, facilities management, staff recruitment, and environmental health and safety standards for the Initiative.

  • Manages complex, high-priority projects and responsible for their outcomes.

  • In concert with the Director, assists with operational management of Nanoscience Initiative, including its three user facilities and the ASRC Sensor Center for Advanced Technology (CAT); assists the Business Development Director to identify opportunistic projects, manage project budgets and timelines, design and implement curriculum for workforce development, and other activities related to the ASRC Sensor CAT.

  • Collaborates on grant proposals including writing, planning, and execution to government agencies, industry and foundations; coordinates submissions and develops related budgets and budget justifications; seeks academic and industrial partnerships, and funding, to support research activities; works closely with the Development Office and supports fundraising efforts for the Nanoscience Initiative.

  • Assists the facility managers in creating strategic research and business plans, and setting targets; implements ways to adhere to these plans and targets.

  • In collaboration with the Initiative Director, responsible for logistical planning and execution of events including meetings, workshops, and conferences; manages content for communications including website and promotional materials for the Nanoscience Initiative and user facilities; updates website content as needed.

  • Develops measures to maximize equipment usage and minimize down time and monitors progress.

  • Coordinates recruitment plans and carries out the selection process.

  • Organizes and manages correspondence, accounts, contracts, and billing.

  • Prepares annual reports in terms of both content and financial accounting.

  • Manages the administrative staff.

  • Provides facility tours and represents the facility to external visitors.

  • Performs other duties as assigned.

QUALIFICATIONS

Bachelor's Degree and six years' relevant experience required.

A preferred candidate should have:

  • Advanced Degree in a related scientific field (Ph.D. degree is preferred). An advanced degree in a related field can be substituted for 2 years of work experience.

  • Experience working in a scientific administration and/or in a scientific operation.

  • Experience with basic accounting, managing budgets, and purchasing.

  • Knowledge of equipment associated with scientific research.

  • Strong written and verbal communication skills.

  • Ability to work effectively, collaboratively, and cooperatively with diverse stakeholders, constituent, and clients of various levels.

  • Represents management in meetings and activities related to department administration.

  • Maintains archives, inventories, or collections of materials or records needed by the department.

  • Works with fund-raising, marketing, technology, and other personnel to provide information and participate in Campus or University-wide initiatives.

  • Collect information for, produce, and distribute department reports covering program, fiscal, and human resources issues

  • Independently carries out unit activities such as approvals, student interactions, and participation in campus- or university-wide committees and projects.
