CUNY Budget Coordinator - ASAP in New York, New York


Accelerated Study in Associate Programs (ASAP) at The City University of New York is a comprehensive program for students pursuing degrees at nine CUNY comprehensive and community colleges.Visit The program, housed in the Office of Academic Affairs and located in downtown Brooklyn, is seeking a Budget Coordinator to support the centralized management of all CUNY tax levy funds and Research Foundation grant funds, budgets and expenditures. The ASAP Budget Coordinator performs basic financial analysis, creates reports, and processes and reconciles budget and e-procurement transactions in various online systems. The position reports to the ASAP Associate Director for Budget and Fiscal Administration.

Key duties include, but will not be limited to the following:

  • Perform spending projections; participate in developing and disseminating ASAP student financial resources;

  • Monitor all local management information systems (tracking of expenditures, requisition processes, purchase orders, ordering, invoices, and payments);

  • Create and maintain internal expenditure reports for management review;

  • Coordinate the development and dissemination of annual and mid-year budget award letters and purchase requisition justification memos;

  • Assist ASAP Central Office project leads with managing project budgets, tracking expenditures, and preparing quarterly summaries;

  • Prepare and process requisitions for independent contractor’s agreement (ICA), memorandum of understanding (MOU’s), and purchase orders (PO’s);

  • Compile, track and submit timesheets to SUD OAA payroll team for Research Foundation employees;

  • Process Research Foundation of CUNY (grant funds) small orders, purchase orders, advance requests, ePayments, and travel reimbursements;

  • Process OTPS payments and reconcile Purchasing and Travel card charges in CUNYfirst;

  • Work with ASAP Central Office team to draft ad-hoc reports upon request;

  • Respond to requests and inquiries in a timely and thorough manner; and participate in special projects.


Bachelor’s degree required.


  • Bachelor’s Degree in finance, accounting or related discipline preferred

  • Experience analyzing data and monitoring budgets preferred

  • Experience creating and using Excel spreadsheets, formulas and Google Docs preferred

  • Detail oriented and accurate with strong computational, and research skills

  • Strong interpersonal communication, writing and presentation skills

  • Proactive, flexible, and customer focused to work effectively with diverse members of the university community and external constituents in a fast paced, time-sensitive, and high volume environment

  • Strong organizational and follow-through skills to prioritize work, manage assignments and meet deadlines

  • Computer proficiency using online administrative, financial or academic programs, systems or databases

  • Interest in promoting college access and success in post-secondary education


Administers program and unit budgets and related functions.

  • Prepares budgets, projections and financial reports

  • Collects and reports fiscal information as required, and assists in analyzing financial information

  • Coordinates with various departments on budget and accounting matters

  • Monitors systems and operational issues to improve overall workflows
