GENERAL DUTIES

  • Under direct supervision, performs bookkeeping, clerical, and sub professional work of ordinary difficulty and responsibility related to college accounting. Such work may be performed utilizing computers and related technology.

  • There are two Assignment Levels for this position. All personnel perform related work. This specification describes typical assignments for this position; related duties may be assigned as needed.

ASSIGNMENT LEVEL 1:

  • As instructed, maintains financial records of contracts, appropriations, allocations, authorizations, and payments and assists in maintaining ledgers of accounts and in performing reconciliations.

  • As instructed, examines invoices, claims, vouchers, etc.; verifies documents for accuracy by

reviewing supporting data and records and assists in audit functions.

  • As authorized, receives remittances and payments; makes appropriate disbursements or refunds; keep logs and issues pertinent receipts.

  • Assists in processing invoices, vouchers, claims, statements, bills, etc.

  • Perform various calculations and computations, as directed.

  • Perform other related duties, such as generating reports and producing checks and other financial documents, as required.

ASSIGNMENT LEVEL 1A:

  • This assignment level is only for College Accounting Assistants who have achieved the minimum qualification requirements for the title College Accountant, Level 1, but have not been reassigned to duties in that title.

The Stella and Charles Guttman Community College is the City University of New York’s newest community college in 40 years. As an innovative institution, Guttman Community College requires flexibility and a broad range of skills and competencies from candidates in every position. Located in midtown Manhattan, Guttman was established with the goal of significantly improving student learning, retention and graduation, by rethinking community college education and practice. Guttman Community College is a federally-designated Hispanic Serving Institution with a culturally diverse student body drawn from across New York City.

Most of our students enroll directly out of high school. The College is committed to using a range of innovative approaches in order to achieve its goals and to improve student persistence, retention, completion, and transfer. The centerpiece of Guttman’s educational model is an integrated first-year core curriculum, where students examine current world issues and use New York City as a living text and laboratory. Thus, connecting information and concepts across multiple disciplines, contexts, and perspectives. This immersive approach equips Guttman scholars with the foundation of knowledge and skills essential to their intellectual, social, civic, and professional endeavors in and beyond the classroom.

Guttman currently offers five majors/pathways: business administration, information technology, human services, liberal arts and sciences, and urban studies, and will offer additional programs in the future. The College admitted its first cohort of 300 students in August 2012 and has established a goal of 5,000 students, in the coming years. Guttman Community College is seeking a College Accounting Assistant for the Business office. Reporting to the Finance Revenue Manager, the College Accounting Assistant will be responsible for:

  • Assisting in contacting departments to receipt items received

  • Assisting in liaising with Central Office to secure authorized documentation to facilitate payments

  • Assisting in processing payments of bills for Guttman Related Entities

  • Assisting in reviewing, inputting and maintaining transactions in Financial Edge and CUNYfirst

  • Assisting in reviewing requests in Forms System and processing related transactions

  • Assisting in inputting transactions in and updating budget systems, and distributing budget information/reports

MINIMUM QUALIFICATIONS

ASSIGNMENT LEVEL 1:

  • A high school diploma or its equivalent, plus

  • An associate degree from an accredited institution of higher education, AND One (1)year of full-time bookkeeping, figure clerk, account clerk, or similar experience, OR

  • A comparable combination of experience and education.

  • Demonstrated English language proficiency (ability to speak, read, write and understand English well enough to meet job requirements).

ASSIGNMENT LEVEL 1A:

  • A baccalaureate degree from an accredited institution of higher education, including or supplemented by at least eighteen (18) credits in accounting and at least six (6) credits in data processing, computer science, finance, banking, economics, taxation, statistics, or similar courses.

OTHER QUALIFICATIONS

  • Bachelor Degree in Accounting

  • CUNY or higher education experience preferred.

  • Knowledge of computerized systems such as CUNYfirst (PeopleSoft), Financial Edge or similar accounting system

  • Proficiency in Microsoft Office

  • Knowledge interpreting and applying policies and procedures

  • Experience in assisting in preparing for annual audits

  • Must be detailed oriented, with strong organizational skills and ability to meet strict deadlines in a fast-paced environment

  • A high degree of professionalism and personal integrity to maintain confidentiality and handle financial data with sensitivity and discretion

Assignment Level 1

New Hire - $39,469*

Incumbent - $44,401

Assignment Level 1A

New Hire - $44,485*

Incumbent - $50,270

*This amount reflects a 13% salary suppression in effect for the first 24 months of employment only.
