GENERAL DUTIES

  • Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.

  • There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as

needed.

  • Maximum tenure for any employee in this hourly position is 1040 hours per year.

  • Performs routine clerical work; may answer and attend to telephone calls; maintain records,

operate office machines (such as copier), sort and distribute mail, issue keys and identity cards,

act as messenger, and perform related tasks as required.

  • Types letters, memoranda, charts, and similar materials.

  • Acts as cashier.

  • Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.

  • Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.

  • Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.

  • Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.

  • May operate computers, computer software, and other electronic equipment in performing assigned tasks.

CAMPUS SPECIFIC INFORMATION

The Office of Computing and Information Services (CIS) at the City University of New York (CUNY) support the IT and telecommunications needs of CUNY's 24 colleges. CIS supports enterprise IT and applications; develops new technologies that advance University's core mission; builds, upgrades and maintains the University's network; operates the University's Data Center and help desk; develops disaster recovery and business continuity plans; and leads the CUNYfirst Enterprise Resource Planning Project (ERP), which integrates 25 university systems, covering student administration, financial management, and human resources.

Reporting to the Executive Assistant to the Deputy CIO, with some latitude for independent initiative and judgment, the College Assistant is responsible for providing general administrative support, relieving upper management of administrative details. General duties include clerical, receptionist, and project-based work, in connection with department work processes. The ideal candidate will project a professional image through in person, telephone, and written interactions, assuring discreet handling of all business.

Key responsibilities include, but are not limited to:

  • Serves as liaison between the departmental managers and the Deputy CIO and executives of all CUNY campuses.

  • Performs administrative support to the Deputy CIO and Executive Assistant, including coordinating and scheduling meetings, receiving and screening visitors, telephone calls, and written correspondence.

  • Serves as backup administrative support to the Vice Chancellor & University CIO, handling matters related to his calendar, meetings with internal and external constituents, and any materials associated with each meeting.

  • Provides assistance to various members of the senior staff, as needed, and provides information regarding departmental functions.

  • Creates and maintains procedures manual to ensure consistent performance of routine work, and develop and test new procedures.

  • Keeping of the electronic copy of the organizational chart for all CIS departments, and updating as instructed.

  • Coordinates intra-departmental activities.

  • Researches a variety of topics related to IT matters in higher education.

  • Handles vendor billing that requires the approval of the Deputy CIO for payment.

  • Orders and replenishes office supplies, as needed.

  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS

  • Must demonstrate sufficient skills to perform the duties of the assigned tasks.

OTHER QUALIFICATIONS

Preferred Qualifications Include:

  • Extensive software skills, as well as Internet research abilities.

  • Strong verbal and communication skills.

  • Ability to quickly adapt to new concepts, projects, and technologies, in a fast-paced environment.

COMPENSATION

$15.61 per hour at a maximum of 20 hours per week.

IMPORTANT BENEFITS NOTICE:

Health Plan Coverage for Employees Hired on or after July 1, 2019

City of New York employees and employees of Participating Employers and their eligible dependents hired on or after July 1, 2019 will only be eligible to enroll in the EmblemHealth HIP HMO Preferred Plan and must remain in the HIP HMO Preferred Plan for the first year (365 days) of employment.

After 365 days of employment, the employee will have the option of either remaining in the HIP HMO Preferred Plan or selecting a different health plan within 30 days before the end of the 365th day period. If a new health plan is selected, the new plan will be effective on the 366th day.

Only after the 365th day can the employee participate in any Annual Fall Transfer Period.

An employee who needs to request an exemption from the required enrollment in the HIP HMO Preferred Plan can do so by submitting a HIP HMO Opt-Out Request Form to EmblemHealth. An employee, or eligible dependent, must meet certain criteria and the request must be approved by EmblemHealth before the exemption is granted. The HIP HMO Opt-Out Request Form and HIP service area are available on the EmblemHealth website.
