POSITION DETAILS

Guttman Community College is seeking a Confidential Executive Coordinator to support the Office of the President. Reporting to the Executive Chief of Staff, the Confidential Executive Coordinator is responsible for helping the President function effectively in the leadership of the College. The Coordinator will provide overall administrative support to the President and will be responsible for the President's schedule, general correspondence, and communications with the Office of the President, as well as the smooth functioning of the Office itself. As a representative of the President, the Executive Coordinator must demonstrate the ability to work well with the many constituents represented by the college community, the University, and the public and promote a welcoming and productive environment within the Office of the President and the College at large. In carrying out these activities, the Executive Coordinator must act in a highly professional and confidential manner, and function well in a fast-paced environment. As a confidential position, this position is excluded from the bargaining unit.

Responsibilities include, but are not limited to the following:

  • Coordinates the President's complex calendar to ensure that all commitments, responsibilities, and deadlines are met, and that allocated resources are consistent with priorities.

  • Assists the President with record keeping, distributing information, and other departmental functions.

  • Prepares materials for meetings including but not limited to meetings for the Presidents Strategy and Implementation Team (PSIT), Guttman Leadership Team (GLT), meeting agendas; coordinates special arrangements as needed.

  • Coordinates the communication in the Office of the President through managing the flow of emails, letters, correspondence, and phone calls, ensuring the timely response thereto.

  • Prepares letters, memos and other procedural documents as needed.

  • Responds to requests from faculty, staff, students, and other stakeholders to meet with the President in a timely and professional manner.

  • Conducts research if needed.

  • Makes travel arrangements and prepares detailed travel itineraries.

  • Prepares and submits all reimbursements for the Office of the President.

  • Supports and implements special events hosted by the Office of the President.

QUALIFICATIONS

Bachelor's degree required.

Preferred Qualifications:

  • Ability to prioritize tasks, manage multiple assignments, and meet strict deadlines in a fast-paced office

  • Excellent interpersonal and written/verbal communication skills

  • Tech savvy, with proficiency using Microsoft Word, Excel, Outlook and PowerPoint; proficient in online communication tools such as Zoom and Microsoft Teams.

  • Ability to handle high-level information with extreme sensitivity and confidentiality

  • Understanding of and ability to support the mission of Guttman Community College in all activities

  • Ability to work with respect and sensitivity to an academically, culturally, and linguistically diverse student body

  • Ability to work with multiple areas across the college in an effective and professional manner.

CUNY TITLE OVERVIEW

Provides administrative support as a confidential assistant to a Campus or University Executive.

  • Coordinates office operations such as meetings, communications, events, and reports

  • Maintains extensive files and records for the unit

  • Maintains accurate calendars, schedules, and key dates

  • Collects data for, prepares, and distributes reports and presentations using appropriate technology; runs basic system queries and reports

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials

  • Provides clear communications on the Executive's behalf both within and outside the unit

  • Performs related duties as assigned.

This position is excluded from union representation.

COMPENSATION AND BENEFITS

$57,517 - $65,946 Salary commensurate with education and experience.

IMPORTANT NOTICE: Health Plan Coverage for Employees Hired on or after October 1, 2022 City of New York employees and employees of Participating Employers and their eligible dependents hired on or after October 1, 2022 will only be eligible to enroll in the EmblemHealth HIP HMO Preferred Plan and must remain in the HIP HMO Preferred Plan for the first year (365 days) of employment.

After 365 days of employment, the employee will have the option of either remaining in the HIP HMO Preferred Plan or selecting a different health plan within 30 days before the end of the 365th day period.

If a new health plan is selected, the new plan will be effective on the 366th day.

Only after the 365th day can the employee participate in any Annual Fall Transfer Period. An employee who needs to request an exemption from the required enrollment in the HIP HMO Preferred Plan can do so by submitting a HIP HMO Opt-Out Request Form to EmblemHealth. An employee, or eligible dependent, must meet certain criteria and the request must be approved by EmblemHealth before the exemption is granted. The HIP HMO Opt-Out Request Form and HIP service area are available on the EmblemHealth website.
