POSITION DETAILS

The City University of New York’s Office of Treasury Management (OTM) plays a critical role in the University’s operations by overseeing four key financial areas: Bursar, Cash Management, Payment Card Industry Compliance, and Student Financial Aid Operations. Reporting to the Assistant Director of SFA Operations for Federal Work Study, the Federal Work Study Payroll Coordinator will support the day-to-day operations of all aspects of the bi-weekly payroll related activities for students participating in the federal work study program. Duties include ensuring quality customer service to colleges, delivery of accurate and timely payments to students, and compliance with labor and tax regulations, and federal, state and institutional guidelines.

Responsibilities include but are not limited to the following:

  • Assists with the coordination of work study related activities across CUNYfirst modules with Central Office administrative and technical staff in the Office of the Budget and Finance, Computer Information Services, and the Office of Student Financial Assistance.

  • Communicates payroll activities, deadlines and statuses with college staff; participates in developing the annual payroll calendar.

  • Researches and evaluates issues raised by colleges pertaining to processing, errors, and enhancements; identifies, coordinates, and communicates issues to the appropriate technical and operations staff, committees, and management monitoring their resolution.

  • Assists with preparation of various management reports.

  • Participates in monthly university-wide work study meetings and provides college work study coordinators with ongoing guidance and training.

  • Develops and updates training and resource materials.

  • Assists with year-end and new year processes to ensure accurate tax related reporting; participates in W-2 Wage and Tax Statement related activities.

  • Reviews daily reports to ensure updates to student records and files are made.

  • Identifies and analyzes rejected data and initiates measures to prevent future rejections.

  • Assists with: communications to the colleges and students, updating the system for uncashed and undeliverable checks, rejected electronic refunds, and stop payments, collecting support for audit-related activities.

NOTE:

Until further notice, this position is eligible to work remotely and work on-site in the office.

QUALIFICATIONS

Bachelor's degree is required.

Preferred Qualifications:

  • Up to two years of work experience in a financial aid and/or Bursar environment

  • Working knowledge of Title IV financial aid programs

  • Excellent communication and organizational skills

  • Ability to maintain detailed and consistent records on an ongoing basis

  • Computer proficiency with MS Office Suite (Excel, Word, PowerPoint) and remote/virtual meeting and collaboration tools (Office 365, MS Teams, Zoom); Oracle/PeopleSoft experience is a plus

Coordinates financial aid procedures and activities and provides financial aid information.

  • Schedules workshops, reviews applications, establishes pay cycles, disburses funds and resolves disbursement problems, and records awards, disbursements and returns

  • Coordinates, verifies and resolves problems regarding the disbursement of scholarships and grants by verifying student eligibility, establishing pay cycles and reviewing pay-outs

  • Reconciles accounting and disbursement schedules

  • Provides data for financial aid and donor reports as needed

  • Supports the College's enrollment management efforts by providing financial aid information to prospective students, their families and their high school counselors

  • Serves as liaison between the college and direct loan providers

  • Performs related duties as assigned.

The salary range is $54,268 - $60,394 ; commensurate with qualifications, education, and experience.

IMPORTANT NOTICE: Health Plan Coverage for Employees Hired on or after October 1, 2022

City of New York employees and employees of Participating Employers and their eligible dependents hired on or after October 1, 2022 will only be eligible to enroll in the Emblem Health HIP HMO Preferred Plan and must remain in the HIP HMO Preferred Plan for the first year (365 days) of employment.

After 365 days of employment, the employee will have the option of either remaining in the HIP HMO Preferred Plan or selecting a different health plan within 30 days before the end of the 365th day period. If a new health plan is selected, the new plan will be effective on the 366th day. Only after the 365th day can the employee participate in any Annual Fall Transfer Period.

An employee who needs to request an exemption from the required enrollment in the HIP HMO Preferred Plan can do so by submitting a HIP HMO Opt-Out Request Form to Emblem Health. An employee, or eligible dependent, must meet certain criteria and the request must be approved by Emblem Health before the exemption is granted. The HIP HMO Opt-Out Request Form and HIP service area are available on the Emblem Health website.
