Reporting to the Finance Manager, the Finance Coordinator (Accounts Payable) will be responsible for working with Tax-Levy and Non-Tax Levy funding. The candidate will be working with CUNY Central Office shared services serving as the Accounts Payable liaison and representing CUNY SPS university wide.

• Assuring invoices are received and processed in a timely manner

• Assist departments in receipting for goods and services received

• Monitor payments for recurring annual and monthly commitments

• Review open purchase orders and follow up as appropriate

• Resolve pending issues with vendors and departments

• Generate receipts for departments

• Work with the Accounting department to create invoices and vouchers for Non-Tax Levy and related entities

• Assist with year-end closing

• Acts as the Travel and Expense Administrator for CUNY SPS

• Conduct audits for travel and personal expense reimbursements for faculty and staff

• Create travel authorizations and expense reports for employees

• Reconcile procurement (P-card) and travel (T-card) credit card transactions

• Create and analyze various queries in CUNYfirst pertinent to financial and operational activities

• Assist employees with filling out CUNYfirst security access forms related to purchasing, accounts payable and travel and expense

• Designated Customer Relations Management (CRM) specialist for all business office operations

• Facilitate instructional trainings for faculty and staff on CUNYfirst processes

• Provide exceptional customer service

• Perform other related duties/projects as assigned by the Director of Budget and Finance and the Finance Manager


Bachelor's Degree required.


The preferred candidate will have the following qualifications

• Bachelor’s degree in accounting or related field

• Experience with PeopleSoft/CUNYfirst

• Experience with New York State Financial System (SFS)

• Relevant business office experience in a Higher Education Institution

• Proficiency with all aspects of Microsoft Office Programs, particularly Excel (Pivot table, V-Lookup, Macro and formula functions) as well as Microsoft Word

• Excellent oral, written and interpersonal communication skills

• Attention to detail and ability to work in a fast-paced environment while managing multiple priorities.

• Must have strong organizational skills with the ability to establish priorities, manage multiple demands and meet deadlines.

• Ability to work independently and take initiative as well as working collaboratively in a demanding, and complex work environment.


Performs financial analysis and administrative work related to College or unit accounting.

  • Prepares, reconciles and distributes expenditure and related accounting reports

  • Creates and maintains various spreadsheets related to financial analysis

  • Processes and tracks transactional entries

  • Provides support in the administration of various business operations

  • Coordinates with various departments on accounting matters

  • Monitors systems and operations to assure a smooth workflow

  • Performs related duties as assigned.
