Reporting to the Director of Finance for the Graduate Center Related Entities, the Finance Specialist will assist the Director and is responsible for performing a variety of accounting activities related to the payment and receipt of funds. S/he will compute, classify, record and reconcile transactions into the GC’s financial accounting systems.
The Finance Specialist position involves the maintenance, analysis, interpretation and management of financial accounting data, including the preparation and posting of various journals, ledgers and accounts, the presentation of financial data, the preparation of financial statements and expenditure reports, review and approval of invoices for payment, allocation of funds to various accounts or functions, and other similar activities.
Duties include but are not limited to:
Reviews, monitors and processes a variety of financial transactions.
Prepares and reviews complex transaction entries and reconciles accounts.
Develops, maintains, updates and processes documentation and account procedures and guidelines for the GC Related Entities.
Maintains various ledgers, journals, registers and other fiscal records; reviews and analyzes accounting records and fiscal activities to ensure accuracy.
Runs and analyzes financial reports; prepares management information reports.
Researches new accounting regulations and implements approved changes.
Provides oversight of fiscal year-end close process for the GC Related Entities.
Responsible for review and compilation of financial statement using US GAAP basis of accounting (e.g., primary financial statements, MD&A;, supplemental schedules, etc.) and coordination of support documentation for financial audits; acts as a liaison to external auditors.
Processes payment requests for the GC Related Entities on a timely basis.
Classifies expenditures and posts to various accounts as required, reviews and processes invoices, and other fiscal documents for payment, and reconciles various financial reports and other data concerning fiscal operations.
Responds to inquiries from faculty, staff, grant administrators and students regarding disbursement policies and procedures.
Enters contributions and other checks receipts into the financial accounting system for the GC Related Entities; prepares checks for deposit.
Prepares the GC Related Entities bank reconciliations on a monthly basis.
Enters investment performance into the financial accounting system, i.e., interest and dividend income and gain/loss on investments.
Enters contribution receivables, accounts payable, accrued liabilities, etc. into the financial accounting system on a timely basis.
Maintains accounting records through filing, retrieval, retention, updating and archiving.
Provides assistance, as needed, in preparation of the GC Related Entities audited financial statements.
Assists with mid-year and end-of-year procedures.
Performs other duties as assigned.
Bachelor's Degree and four years' related experience required.
A preferred candidate should have:
Bachelor’s degree in accounting, finance, economics or related area.
Previous experience with internal and external audit process reviews.
Knowledge of CUNY and NY State laws and regulations related to accounting practices, procedures and standards.
Understanding of and ability to apply accounting skills and concepts.
Excellent communication and analytical skills.
Ability to meet deadlines and work under pressure with shifting priorities and directives.
Ability to handle multiple projects in a timely manner and be detail oriented.
Proficiency in MS Excel and knowledge of financial and accounting software applications.
Knowledge of computerized systems such as Blackbaud Financial Edge and CUNYFirst.
Ability to work effectively and independently.
