CUNY Financial Aid Services Specialist in New York, New York



Baruch College invites applications for the Financial Aid Services Specialist position. This position reports to the Director of Financial Aid Services or designee.

In addition to the responsibilities listed in the Title Overview, the Financial Aid Services Specialist will perform the following:

  • Monitors student aid programs' processing and compliance (e.g., verification, professional judgment, work-study, R2T4, Satisfactory Academic Progress (SAP), grants, scholarships, loans, etc.).

  • Coordinates R2T4 processes and ensures accurate and timely students record review and update.

  • Reviews financial aid batch processes for accuracy and timely reporting of disbursement to COD.

  • Oversees the Federal Work Study Program including applications and software function (e.g. determines configuration, analyses of data, student reach out, and related communications, etc.).

  • Produces documentation for internal and/or external audits. Responsible for the correct filing and scanning of documentation; conducts research and proposes upgrades or new technology to warehouse documentation safely and permanently.

  • Represents the College on University committees. Ensures that the College's Financial Aid System (FAM) and/or Student Information System (SIS) CUNYfirst (PeopleSoft) meets the necessary standards to administer the student aid business processes in accordance with regulatory and policy requirements.

  • Coordinates training sessions, workshops, seminars, and webinars. Develops and prepares training content and tools.

  • Actively engages in the optimization of business processes. Contributes to the development of the Policy and Procedures Manual (PPM) and its timely updates.

Bachelor's Degree and four years' related experience required. Must be a current CUNY employee.

Additional Qualifications:

  • Four years' experience in a fast-paced financial aid environment required

  • Command of student aid programs' regulatory compliance; high degree of proficiency with automated financial aid systems (e.g., CUNYfirst/PeopleSoft/Oracle) required

  • Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting aid programs, organizational unit, and/or the College in general required

  • Effective written and verbal communication skills required

  • Ability to work a permanent evening schedule (10 am to 6 pm); schedule may change to accommodate summer/weekend special hours and/or to support on- and off-campus events

  • Strong organizational skills, proven leadership record, attention to detail, and ability to work independently as well as part of a team required

  • Competency in the use of query tools and software such as Microsoft Access and Excel to design reports and analyze data highly preferred

  • Demonstrated ability to work autonomously with multiple priorities and deadlines

  • Presentation/training experience

  • Proven problem-solving abilities and ability to conduct independent research

  • Demonstrated ability to work with a diverse population


Administers and supervises financial aid programs and operations.

  • Reviews contracts, disbursements, tuition and fees; validates student eligibility for various programs

  • Administers, monitors and troubleshoots CUNY financial aid systems as well as Federal and NY State systems in order to ensure integrity of student databases and timely and accurate delivery of funds

  • Assists CUNY staff, applicants, and students/families with advice on financial aid issues and eligibility

  • May review and reconcile student payroll processing

  • Represents the Financial Aid function at Admissions events; works with academic departments as well as Bursar, Registrar, Admissions and Computing offices to assure staff understand and implement financial aid processes correctly

  • Assists in the development and evaluation of Admissions processes

  • Prepares documentation, instructions, and materials in various media to support financial aid activities

  • Performs related duties as assigned.
