Reporting to the Payroll Manager, the Payroll Coordinator is a liaison between departments/employees and the payroll department. The Payroll Coordinator, works closely with the College's departments on payroll related issues. (S)He also ensures that the bi-weekly payrolls are processed in a timely and accurate manner. (S)He reviews and inputs employee timesheets into the State system (PayServ).

Other duties include but are not limited to the following:

  • Reviews and checks all documents submitted by departments/employees for accuracy and

necessary approvals.

  • Reviews payroll submission for accuracy through audit reports and makes any necessary

adjustments. Checks each payroll run against the payroll register for accuracy.

-- Reviews computed wages and corrects errors to verify the accuracy of earnings while assuring that

all changes to the payroll are processed and documented correctly.

  • Maintains and stores all payroll and personnel records.

-- Implements special payroll actions such as W-2 correction and duplication, paycheck replacement,

direct deposit enrollment, returned checks, adjustments related to voided checks and tax waivers.

  • Performs other related duties such as creating timesheets, new hire packets and payroll reports for

the current fiscal year.

  • Utilizes PayServ to verify the status of CUNY employees.

  • Prepares various payroll and management reports and completes special projects as requested by


  • Maintains client confidence and protects operations by keeping information confidential.


Bachelor's Degree required.


  • 1 to 2 years' experience in payroll related areas preferred.

  • Experience using Payserv and PeopleSoft or CUNYfrist experience, including queries.

  • Strong working knowledge of Microsoft applications such as Excel and Word preferred.

  • Strong analytical skills with attention to detail and ability to seamlessly adapt to change desirable.

  • Strong organizational skills with the ability to establish priorities, manage multiple demands and

projects, and meet deadlines are strongly preferred.

  • A strong customer service orientation and excellent oral, written, and interpersonal

communication skills are desirable.

  • Able to use sound judgment to make decisions, resolve problems diplomatically and discretely, and

work effectively both independently and cooperatively with all levels of staff.


Provides information and services to the College community to support the Human Resources function.

  • Prepares and executes various personnel transactions involving employee recordkeeping, processing of new hires, pay administration, and recruiting

  • Maintains an understanding of policies, procedures, regulations, and collective bargaining agreements relevant to human resources

  • Organizes and processes employee information; develops and maintains reports and queries; assures data accuracy and completeness

  • Responds to requests for information; troubleshoots issues, follows up and responds to employee inquiries

  • Assists HR managers with employee communications of all kinds; may prepare materials, conduct orientation sessions, or update web pages

  • Performs related duties as assigned.
