The Office of Academic Initiatives and Strategic Innovation (AISI) at the Graduate Center cross-functionally supports noncredit and nondegree programming at the CUNY Graduate Center, such as short-term intensive seminars, a 330-member lifelong peer learning program, summer institutes, and events, with a focus on academic value and accessibility. We work in partnership with academic programs, centers, institutes, students, faculty, staff, and outside organizations to drive shared success.

As part of the AISI team, the Program Coordinator is expected to serve as an engaged and involved team member to support new and existing non-degree programs and actively build an office culture dedicated to superior service for students, instructors, and program partners, both internal and external. This position reports to the Academic Initiatives and Strategic Innovation Program Development Director.

All full-time and part-time CUNY staff are expected to work in-person at their campus office 70% of their work time. For full-time staff, this is equivalent to 7 out of 10 days of in-person work in a two-week period (e.g., 7 days in-person, 3 days remote). This hybrid work schedule is subject to change.

Duties include but are not limited to:

  • Coordinates simultaneous registration processes and balances enrollment for multiple nondegree programs, both virtual and in-person.

  • Coordinates tuition collection and processes refunds as needed.

  • Performs data entry, analysis, and maintains files/records related to program students, instructors, and operations (both virtual and in-person).

  • Tracks and analyzes enrollment and revenue data related to each program and individual events.

  • Summarizes and analyzes data in reports; makes recommendations related to research findings.

  • Assists the Director to develop strategies to expand reach of nondegree programs and support audience development.

  • Coordinates program operations including classroom and space planning management for non-degree program; prepares instructor appointment requests and offer letters; issues acceptance letters and certificates of completion to nondegree students; serves as a liaison with public safety, facilities, room reservations, IT, and library for campus access and services.

  • Working with the Director, onboards new nondegree program partners. Develops training materials and resources, trains partners to use vendor profile to access registration data, creates guides and other documents as needed; assists with troubleshooting as needed.

  • Initiates and coordinates purchase requisitions per University procurement processes.

  • Performs other duties as assigned which are reasonably within the scope of this job classification.

QUALIFICATIONS

Bachelor's Degree required.

  • Advanced computer proficiency using academic, administrative, databases, and programs including Microsoft Office Suite: Word, Excel, Outlook, Teams, and Sharepoint.

Candidates must be legally authorized to work in the United States on a full-time basis. Sponsorship will not be offered for this position.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
