The ASRC seeks a Sponsored Programs Assistant who will report to the Associate Director in Sponsored Programs Administration.

Duties include but are not limited to:

  • Interacts directly with investigators, faculty, staff, and sponsors/agencies in the drafting and preliminary review of proposals.

  • Responds to Principal Investigator (PI) requests and inquiries in a timely and thorough manner.

  • Collects information in support of drafting proposals.

  • Coordinates and reviews proposal materials including bio-sketches and other administrative materials.

  • Drafts preliminary budgets for proposals.

  • Manages reporting for faculty’s and staff’s academic year and summer salaries as needed; develops an overview for each faculty member and oversees certification of staff notices and personnel activity reports.

  • Collects and reviews all Financial Conflict of Interest and Export control forms and forwards them to the CUNY Compliance Office.

  • Prepares budget modifications and cost transfers.

  • Participates in compilation of statistics for development of indirect cost rate (also known as facilities and administrative rate).

  • Processes and monitors sub recipient awards in the Research Foundation Contract Manager system.

  • Serves as a liaison for Human Resources between the ASRC and the Research Foundation (RF) of CUNY.

  • Responsible for monitoring leave balances for all ASRC RF employees.

  • Participates and assists in special projects, and performs associated administrative duties.

  • Performs other duties as assigned.

QUALIFICATIONS

Bachelor's Degree and four years' related experience required.

A preferred candidate should have:

  • Strong knowledge of sponsored programs and grants administration.

  • Working knowledge of various government agencies (Federal, NY State and NYC) and corporate sponsored program requirements and practices.

  • Working knowledge of the research regulatory environment and requirements for compliance.

  • Experience in policy review, data collection, statistical evaluation of data, and strategy for conveying results to users.

  • Ability to analyze proposals and contracts and identify areas needing resolution.

  • Strong organizational and time management skills with the ability to set priorities and adjust strategies to meet changing needs.

  • Knowledge of key office technology and software for tracking sponsored programs.

  • Ability to work independently and as part of a team.

  • Ability to communicate effectively and explain complex concepts to diverse constituencies, including faculty, staff, colleagues, and internal and external constituents.

  • Organizes and manages the requirements of existing funded projects and prepares preliminary materials for grant submission

  • Collects information for, and assists in preparing reports, manuscripts for publication, newsletters, web sites, and other communications

  • Plans, designs and coordinates interdisciplinary information and research planning sessions and professional development activities for faculty and staff

  • May oversee one or more facilities, participating in budgeting, planning, and monitoring, and assuring availability of needed tools and equipment

  • Serves as a consultant and resource to faculty and staff on planning and administering research projects

  • Performs related activities as assigned.
