POSITION DETAILS
The Department of Educational and Community Programs seeks to hire a full-time Academic Program Coordinator (aHEO) to assist with administrative tasks for the Educational Administration Program and management of fieldwork for School Psychology, Counselor, Education and Special Education Programs reporting directly to the Department Chair.
Specific duties include, but are not limited to:
Manage fieldwork documentation for students in the School Psychology, Counselor Education, and Special Education Programs.
Correspond with students regarding missing paperwork, journals, and timesheets, and confirm enrolled credits/hours with students
Track direct and indirect hours for the Counselor Education Program, student practicum and internship placements using excel spreadsheets
Maintain an ongoing list of teacher or site supervisor information (e.g., names and emails) and site locations for student placement
Use the Anthology system to create placements in the Experiential Learning section and review placements for completion of Assessments and Surveys.
Contact QC instructors, students, and site supervisors regarding missing Assessments, Surveys, and field placement evaluations.
Correspond and collaborate with field sites, school districts and CUNY Central to manage the completion of affiliation agreements
Collect and distribute tuition waivers to appropriate cooperating teachers and site supervisors.
Answer student questions pertaining to fingerprinting clearance for NYC DOE or NY State and verify and/or assist students in accessing clearance on NYC DOE system
Reviews transcript for each candidate in the Special Education Program to ensure Internship criteria has been met before they are registered.
Supports program director with candidate placements at field sites and communication with school administration and candidates regarding placements.
Assists with the coordination and facilitation of Internship Orientations for Special Education candidates.
Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.
QUALIFICATIONS
Bachelor's Degree required.
Preferred Qualifications
Experience with Excel and Anthology preferred
Experienced in college administrative settings preferred
Experience with clinical placements preferred
CUNY TITLE OVERVIEW
Provides basic operational and analytical support related to a College's specialized academic program.
Supports the directors and managers with orientation preparation, student advisement regarding program requirements, and providing basic information about financial aid and registration
Manages office records including faculty files; prepares reports and surveys; collects and maintains statistical data on program activities
Serves as liaison to various College offices to provide service delivery and appropriate referrals to students
Collects and reviews syllabi to ensure compliance with standards
Serves as resource person for students and faculty regarding program policies and procedures
May supervise office operations and/or monitor department budget
Performs related duties as assigned.
