CUNY Administrative Coordinator - Art in Queens, New York

POSITION DETAILS

In support of the campus mission, strategic plans and values, the Art Department seeks to fill a Administrative Coordinator vacancy.

Reporting directly to the Art Department Chair, the Administrative Coordinator is responsible for the support of Department operations and its undergraduate and graduate programs. This entails coordinating day-to-day activities of the Department including initiating, monitoring and reporting on budgets, purchasing, scheduling and programming.

Specific duties, in addition the CUNY Title Overview, include but are not limited to:

  • Assisting the Chair, faculty, and staff with the administrative tasks related to the Department and personnel management.

  • Assisting students with enrollment, advising and curricular issues.

  • Monitoring annual Department budget including requisitions, receipts, payments, and reimbursements. Assisting Department chair with creating, maintaining, and distributing budget reports in enterprise software system.

  • Liaising with other College departments and offices as needed to support the day-to-day operations of the Department.

  • Coordinating materials relating to the Department’s undergraduate and graduate programs including updating handbook information.

  • Creating and maintaining spreadsheets for student information and course scheduling.

  • Training, supervising and coordinating the duties of clerical and part-time personnel such as office assistants and student aides.

  • Coordinating departmental faculty and staff hiring searches, as well as, faculty and staff tenure/promotion applications and action materials.

QUALIFICATIONS

MINIMUM QUALIFICATIONS

  • Bachelor's Degree required.

PREFERRED QUALIFICATIONS

  • Administrative experience working in higher education, including contact with faculty, staff and students.

  • Two years working experience with an enterprise software system typically in a university, college or academic environment.

  • Experience with all Microsoft Office Suite programs and Google Suite for Education.

  • Demonstrated ability to work autonomously with multiple priorities and deadlines and to adapt to meet customer needs; demonstrated organization skills; demonstrated excellent written and verbal communication skills; detail oriented and ability to multi-task; and, possess critical thinking, problem solving, and analytical skills.

Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
