POSITION DETAILS

The Division of Social Sciences encompasses several different departments, such as Accounting and Information systems, Anthropology, Economics, History, Philosophy, Political Science, Sociology, Urban Studies, and the Graduate School of Library and Information Studies. The division also constituents of programs in Africana Studies, Business Administration, Byzantine and Modern Greek Studies, East Asian Studies, Honors in the Social Sciences, Irish Studies, Italian-American Studies, Interdisciplinary and Special Studies, Jewish Studies, Journalism, Labor Studies, Latin American and Latino Studies, Religious Studies, and Women’s Studies.

Reporting to the Dean of Social Science, the Administrative Coordinator will provide comprehensive administrative support including, managing calendars, screening and handling communications, and dealing with administrative tasks and inquiries. Along with the CUNY title overview, key responsibilities will include, but are not limited to:

• Prepare reports, documents and presentations as assigned

• Facilitate divisional operations, coordinates conferences and events, distribute college-wide announcements, and prepare routine communications to support the division and service

the College community.

• Provides support for projects and initiatives relevant to the division.

• Collects and maintains academic records for the Dean’s Office and the academic departments, including archive material and statistical data.

• Assists with coordinating the Dean's calendar consistent with the priorities of the Office.

• Handles communications and situations in a professional and collegial manner.

• Liaises and communicates on the Dean's behalf with internal and external constituent

• Updates and maintains current information, manuals, and other materials relevant to the office.

• Provide information, and materials as requested by students, faculty, and others who contact the office

QUALIFICATIONS

Bachelor's Degree required.

Preferred Qualifications

-Knowledge of MS Microsoft Office Suite Excel, Word, PowerPoint, Outlook and also Google Applications

  • 1 year prior administrative experience in support of a director/manager’s office

  • Effective verbal and written communication skills

  • Detail oriented; demonstrated ability to accomplish tasks in an effective and timely manner

-Strong interpersonal skills and demonstrated commitment to excellent customer service

CUNY TITLE OVERVIEW

Supports projects, initiatives, and activities that impact an academic or administrative department.

  • Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.

  • Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.

  • Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.

  • Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.

  • Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.

  • Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.

  • May supervise office staff and student workers.

  • Performs related duties as assigned.
