Reporting to the Confidential Executive Associate, the Administrative Executive Assistant supports and coordinates projects, initiatives and activities of the President’s Office, s/he will:

  • Provides confidential and administrative support to the President’s Office, including managing the President’s complex calendar.

  • Communicates with other college departments, CUNY, and external organizations on behalf of the President.

  • Assists with reporting, organizing and supervising activities in the President’s Office.

  • Manages data input, coordination of reports and tracking of all invoices related to various budgets that reside in the President’s Office to assure timely, accurate, and appropriate utilization of designated funds.

  • Serves as designated liaison in the President’s Office to coordinate and facilitate meetings, agendas, minutes and other related matters for governance bodies and related entities including but not limited to the Senate, Auxiliary, Child Care, etc.

  • Assists in coordinating and executing special events sponsored by the President’s Office (eg. Convocation, Commencement, Honors Ceremony, Holiday Party, etc.).

  • Participates in procuring required internal and external resources and services and manages their utilization.

  • Assists in the training and supervision of clerical staff in addition to performing basic Human Resource functions such as recruiting and interviewing.

  • Coordinates Executives’ communication. May respond to public inquiries as well as requests from within the Campus/University community.

  • Participates in the coordination of special projects and efforts to ensure the ongoing effectiveness of the President’s Office.

  • Ensures record management compliance for the Division in collaboration with the department heads.

QUALIFICATIONS

Bachelor's Degree and four years' relevant experience required.

CUNY TITLE OVERVIEW

  • Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.

  • Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.

  • Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.

  • Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.

  • Procures required internal and external resources and services and manages their utilization.

  • May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.

  • May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.
