POSITION DETAILS
Reporting to the Chief of Staff in the President’s Office, the Administrative Executive Coordinator assists in organizing and maintaining the workflow within the office. Duties for this title include but are not limited to:
Assists with campus COVID access protocols in CUNYfirst, and Cleared4 by reviewing information, approving records, and helping to troubleshoot student and staff problems
Confirms and occasionally creates appointments on behalf of the Chief of Staff
Helps coordinate the logistics of a variety of special events involving alumni, donors, and VIP’s
Maintains an ongoing calendar of meetings, events, agendas, reports, deadlines, and incorporates these into a schedule
Manages all administrative functions within the department such as call and client triaging, scanning documents, faxing, greeting visitors, and determining access to appropriate parties, etc.
Reviews all incoming correspondence and route
Documents and organizes constituent complaints, and escalates as needed
Conducts research and helps develop presentations
Coordinates and handles all logistics pertaining to conferences, speakers, travel bookings etc.
Runs and submits regularly scheduled reports.
Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.
QUALIFICATIONS
Bachelor's Degree required.
Preferred Qualifications:
Demonstrated experience in assisting executive level administrators
Experience working in higher education with diverse student population
Excellent teamwork, decision-making, and organizational skills as well as the ability to work independently in a fast-paced work environment.
Proficiency in Microsoft Office, particularly Word, Excel, Outlook and Virtual Platforms (Teams, Zoom, etc.)
Strong interpersonal, oral and written communication skills.
Detail-oriented and problem-solving abilities.
Ability to uphold strict confidentiality

Coordinates office operations such as meetings, communications, events, and reports.
Maintains extensive files and records for the unit.
Maintains accurate calendars, schedules, and key dates.
Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.
Provides clear communications on the Executive's behalf both within and outside the unit.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

$43,520- $80,090; Salary commensurate with education and experience.
