POSITION DETAILS
Reporting to the Chairperson of the School of Music, the Administrative Manager’s duties, in addition to the CUNY Title Overview, include the following:
Oversee all aspects of yearly productions with the Department of Drama, Theatre & Dance. Prepare and audit budgets, coordinate schedules, compile information for printed program, prepare press release, work with College Publicity Office, coordinate College Lab Technicians (CLTs) for technical support (lighting, audio and visual recording; supervise orchestra manager; arrange payments; arrange royalty and licensing agreements, etc.).
Collaborate with Chairperson on various long-range and short-term fundraising projects. Develop fundraising events with additional support from the Alumni Office. Manage School of Music funds, including funds for scholarships and awards.
Manage the admissions and auditions process; supervising registration procedures for Graduate Programs (Academic and Performance) and Undergraduate Programs (B.A., B.Mus., Mus.Ed.).
Supervise Evening and Weekend Events: Evening Readings Series; Jewish Studies lecture series; Friends of the Library; Brass Day; Percussion Day; Choral Festival; Special Events; Center for Preparatory Studies, etc. Each entity has several events each year. Coordinate with the Colden Center. Supervise and assign tasks for technical support from School of Music CLTs.
Oversee the maintenance of School of Music inventory of musical instruments (over 100 pianos, 15 cellos, 6 double basses, harpsichord, fortepiano, large tracker organ, 25 brass instruments, contrabassoon, English horn, piccolo, bass clarinet, Renaissance instruments, Balinese gamelan, percussion instruments, etc.).
Supervise faculty recruitment visits to area high school music schools and junior colleges. Attend College and CUNY-wide recruitment events and present at off-campus outreach.
Oversee the Chamber Music Live Program (14 subscription concert series each year) and direct the orchestra/large ensemble programming. Assign performers and arrange payments for 25+ events per year both on and off campus (e.g., Student Union, President’s House, etc.). Hire extra musicians (ringers) as needed for large ensembles.
Manage payments to vendors and for guest lecturers, residencies, master classes, etc.
Coordinate and supervise department staff including the Piano Technician (maintenance of 100 pianos), Recording Technician (recording studio and podcasting) and Stage Manager (over 200 concerts and rehearsals per year). Assign tasks to Music Office staff and work-study students.
Liaise with Buildings and Grounds and the Dormitory Authority.
Prepare and present outcomes assessment data reporting to executive stakeholders.
QUALIFICATIONS
Bachelor's Degree and six years' relevant experience required.
Preferred Qualifications
Experience in an academic, performing arts, or other arts-related institution strongly preferred.
Master’s degree preferred
Excellent interpersonal skills; supervisory experience preferred
Working knowledge of Microsoft Office, financial and website software applications
Educational or professional background in classical music and/or jazz
Experience creating and managing budgets

Manages administrative aspects of department operations such as admissions, recruitment, scheduling, facilities management, and events.
Serves as Office Manager, supervising and training staff, managing financial operations and budgets, and coordinating technology, equipment, security, and building maintenance requirements.
Represents management in meetings and activities related to department administration.
Maintains archives, inventories, or collections of materials or records needed by the department.
Works with fund-raising, marketing, technology, and other personnel to provide information and participate in Campus or University-wide initiatives.
Collect information for, produce, and distribute department reports covering program, fiscal, and human resources issues
Independently carries out unit activities such as approvals, student interactions, and participation in campus- or university-wide committees and projects.
