CUNY Confidential Executive Assistant to the President in Queens, New York
Reporting to the College President and serving as a key team member with regard to a variety of activities and projects, the Confidential Executive Assistant to the President is responsible for the expert administrative support and function of the Office of the President. The Confidential Executive Assistant must work well with the many constituents represented by the College community, the University, and the public. The Assistant will promote a welcoming and productive environment within the Office of the President. He/she will act in a highly professional and confidential manner, and function well in a fast paced environment.

In addition to the CUNY Title Overview, the Confidential Executive Assistant will perform the following:
Provides overall administrative support to the President; Serves as liaison between the President and Department Chairpersons, College Administrators, students, CUNY officials and outside constituencies; Manages the President’s schedule/calendar to ensure all commitments, responsibilities, and deadlines are met; Handles confidential and time-sensitive materials with utmost care; Manages the communication in the Office of the President through organization of emails, letters, correspondence and phone calls, ensuring timely responses; Oversees the collection and coordination of materials and data for Faculty Personnel and Budget Committee meetings, ensuring eligibility and accuracy of effective dates, salaries, equivalencies, degree waivers, and related information as appropriate; Handles all travel arrangements for the President, including conference registration, airline, hotel and other travel needs; Develops and maintains schedules for reporting deadlines and significant dates and events and coordinates with campus departments/offices where and when appropriate; Coordinates legislative meetings for the President and Vice President for Institutional Advancement; Has responsibility for management of the Faculty Personnel & Budget Committee scheduling; Administers the collection, retention, and dissemination of information and documents; Coordinates Special Campus Events; Collaborates with Commencement Coordinator on aspects specific to the President’s office in relation to the College’s annual Commencement exercises; Responds to requests from faculty, staff, students, and other stakeholders to meet with the President in a timely and professional manner; Coordinates/implements special projects as needed; Supervises clerical staff
Bachelor's degree and four years' related experience required.
Excellent interpersonal and written/verbal communication skills; Experience working in an executive office; Ability to handle high-level information with confidentiality ; Ability to use diplomacy, discretion and confidentiality; Ability to prioritize and organize work, work independently, and make sound decisions; Proficiency using Microsoft Word, Excel, Outlook and PowerPoint;
CUNY TITLE OVERVIEW
Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule
Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities
Procures required internal and external resources and services and manages their utilization
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing
Participates in special projects and efforts to improve unit effectiveness
Performs related duties as assigned.
This position is excluded from union representation.
